Role & responsibilities
Front of the house management:
- Help in creating the first positive impression of the organization with a professional and warm welcome.
- Support internal service team to handle end to end visitor management process including invite letters, welcome letters, receiving the visitor, accompanying them to the right meeting venue etc.
- Ensure reception is clean and tidy with all amenities properly stacked.
- Handling incoming and outgoing couriers and posts.
- Visual management including posters, standees, digital displays etc. are updated and have accurate contents on it in the reception area.
Back of the house management
- Act as a helpdesk coordinator between CRES and its customers by resolving or redirecting queries and requests on ContactOne.
- Keep a check on the visitors' movement through visitor registration tool and coordinate with hosts to ensure accuracy of information.
- Plan and execute initiatives to create awareness among users for the tools such as ContactOne, ScheduleNow, Visitor Management Tool etc.
- Coordinate with security team and own visitor badge management process including issuance, collection, inventory etc.
- MIS and reporting of local CRES operations.
- Manage ordering to payment of florist, first aid box, newspaper and journals etc.
You should backup Facility Assistant in his/her absence to ensure smooth operation of CRES services in the location.
Preferred candidate profile -
- You should hold a degree or equivalent.
- Minimum of 0-2 years experience in a facility management context.
- Personal integrity and the flair to work as part of a team in an environment that demands excellence, time and energy.
- Proven ability to develop credibility with clients and to build and manage relationships.
- You should be good with Microsoft applications (Excel, Word, Power point).
- A refined interpersonal skill in a culturally diverse team is essential.
- Highly motivated with ability to organize and work independently.
- Ability to adapt style as the situation requires and remain flexible
- Professional and positive with a can-do attitude
You are capable to navigate ambiguity with strong negotiating skills in difficult situation.
