Job Description

We are seeking a highly skilled and experienced Senior Sales & Operations Coordinator (Export DPC Executive) to oversee end-to-end sales documentation, dispatch processes, and client coordination. This role is vital to ensuring seamless operations between the sales team, factory, and clients, with strong emphasis on documentation accuracy, timely dispatch, and effective follow-up.

The ideal candidate will have a minimum of 8 years of relevant experience, strong communication skills in English, and the ability to independently manage responsibilities while reporting directly to the Director.

Key Responsibilities

  • Prepare Consent Letters and circulate them with relevant parties via email.
  • Draft and share Proforma Invoices with clients accurately and on time.
  • Maintain regular communication and follow-ups with sales parties to ensure order clarity and completion.
  • Coordinate with the factory team to manage dispatch schedules and ensure on-time delivery.
  • Monitor and follow up on payment collections from clients.
  • Ensure timely collection of C Forms from sales parties and maintain compliance.
  • Handle professional business correspondence, drafting, and client communication.
  • Prepare and manage Export Invoice documentation and maintain all related records.
  • Maintain and reconcile sales data with consent documentation for accurate reporting.

Requirements

  • Bachelors degree in Business Administration, Commerce, or a related field.
  • Minimum 8 years experience in sales operations, dispatch, or export documentation.
  • Proficiency in MS Office (Excel, Word, Outlook).
  • Strong command of spoken and written English.
  • Excellent interpersonal, communication, and follow-up skills.
  • Ability to work independently, manage priorities, and meet deadlines.
  • Well-groomed and professional in presentation.
