Job Summary:

The Statutory Compliance Executive is responsible for ensuring timely and accurate compliance with all labour laws and statutory obligations applicable to the Facility Management industry. This role focuses on employee documentation, PF, ESIC, LWF, PT, and WC management, grievance resolution, and maintaining 100% statutory adherence across all client sites. The position requires close coordination with recruitment, operations, and client teams, as well as government authorities, to ensure smooth statutory compliance and audit readiness.

Key Responsibilities:

Employee Statutory Compliance:

  1. Update KYC details of new employees and generate PF UAN and ESIC numbers.
  2. Complete Aadhaar seeding for PF and ESIC accounts.
  3. Generate ESIC Cards and ESIC Form 36, issue to employees within 8 days of joining (or same day of joining), and update MIS reports.
  4. Coordinate with the Recruitment Team to ensure accurate onboarding documentation and record updates.
  5. Collect resignation letters, ID cards, and other exit documents from separated employees and update compliance records in MIS.

Grievance Handling & Employee Support:

  1. Coordinate with the Operations Team to resolve employee grievances promptly and document resolutions within TAT.
  2. Handle employee queries and issues related to PF, ESIC, or other statutory benefits.

Statutory Coverage & Insurance:

  1. Ensure Workers Compensation (WC) and Group Personal Insurance (GPI) coverage for employees not under ESIC.
  2. File and follow up on accident reports with ESIC or WC insurers for employee benefit claims.
  3. Assist in submission of claims for PF, ESIC, WC, LWF, or GPI benefits for employees or their nominees.

Audits, Inspections & Reporting:

  1. Attend labour-related inspections (PF, ESIC, LWF, PT, Labour Department, etc.) and submit responses or documents for closure.
  2. Prepare and maintain statutory compliance registers and records monthly for billing or client audit requirements.
  3. Support client compliance audits, address audit observations, and ensure timely closure of reports.
  4. Prepare ESIC, PF, PT, and LWF challans, ensuring employee-wise and site-wise accuracy as per ECR.
  5. Visit PF Office, ESIC Office, Labour Welfare Board, or Labour Commissioners Office to liaise with officials for issue resolution.

MIS & Documentation:

  1. Prepare and maintain daily, weekly, and monthly MIS reports covering all statutory compliance activities.
  2. Maintain accurate records of statutory submissions and ensure timely renewals of licenses and policies.

Legal Updates & Statutory Awareness:

  1. Stay updated with amendments in PF, ESIC, WC, LWF, and other labour laws applicable to facility management.
  2. Collect and circulate revised Minimum Wages notifications issued by the Labour Department for all operating regions.

Required Skills & Qualifications:

  • Graduate in Commerce, HR, or related discipline.
  • 23 years of relevant experience in statutory compliance within the Facility Management or Manpower Outsourcing Industry.
  • Sound knowledge of labour laws (PF, ESIC, LWF, PT, WC Acts).
  • Proficiency in MS Excel and MIS reporting.
  • Strong coordination skills with recruitment, operations, and client teams.
  • Ability to handle labour inspections, client audits, and liaising with statutory authorities.

Preferred Qualifications:

  • Certification in Labour Laws / Statutory Compliance.
  • Experience in handling multi-location compliance in facility management setup.
  • Working knowledge of payroll and compliance software
