Project Coordinator
About the Team
Business Enterprise Applications & Transformation (BEAT) is a newly formed integrated team with accountability for the technology product lifecycle across cross-functional process areas. Within this team, there is a Planning & Orchestration function that is responsible for cross-functional planning, delivery and cost performance, management of risk, compliance & controls across all BEAT Products & Services.
About the Role
We are recruiting Project Coordinators to join the Demand & Portfolio team within the Business Enterprise Applications & Transformation (BEAT) Planning & Orchestration team.
The role objective is to enable the successful planning, coordination, and ultimately execution, of assigned projects in support of the business outcome. These roles work in collaboration with the Project Managers, BEAT Demand & Portfolio Lead, business and digital & tech stakeholders as required to manage interdependencies and support successful delivery of outcomes. They will coordinate the schedule, budget, issues and risks of the project(s) ensuring that the activities are completed in a timely fashion and that stakeholders are managed effectively.
How the Demand & Portfolio team within BEAT Planning & Orchestration is structured
The roles will report into the Demand & Portfolio Lead within the Planning & Orchestration team and will be aligned to projects / initiatives as required to support successful delivery. The Demand & Portfolio team has responsibility for portfolio operations spanning demand & prioritisation, project management (inclusive of project finances and resourcing), and technical change and release. This team manages highly complex technology enabled transformation projects delivered using both Agile and Waterfall methodologies.
These roles are global in nature and will support a mixture of legal/regulatory and strategic investment projects.
Key responsibilities
The Project Coordinator will be expected to:
- Manage Project Governance: Partner with BEAT Demand & Portfolio Lead and Project Managers to prepare content (e.g. status reports, risk logs, budget/resource trackers) for use in project/programme governance cadence.
- Quality, Risk & Compliance: Identify and support project team in management of risks and issues that may impact project timelines or outcomes working with teams to define clear action/mitigation/contingency plans, escalating as required. Support project teams in following relevant quality, risk & compliance guidelines and best practices.
- Project Business Case Management: Closely monitor spend; manage baseline changes through change control by developing project budgets and financial reports, monitoring expenses and reporting variances. Support project manager in driving teams to actively manage costs, maintain compliance in financial process management, and collaborate with cost & financials teams to support (inter)departmental finance processes.
- Project Execution: Coordinates & facilitates meetings and project schedules, tracking progress and providing status updates to ensure project success (project goals achieved on-time, in alignment with stakeholder expectations). Will also be responsible for ensuring project documentation is accurate, up-to-date and readily available for all relevant parties.
- Continuous Improvement: Active participation in continuous improvement of project delivery approaches, processes and procedures used to drive scalable, quality delivery at pace; collaborating with other delivery practitioners across Digital & Tech to improve the Enterprise Project Methodology and constructively challenge ineffective practices.
- Stakeholder Management & Communication: Manages communication between project team members, stakeholders, and partners, planning stakeholder connects at an agreed cadence to keep them informed and maintaining relevant artefacts e.g. stakeholder log evidencing engagement (actions from meetings, follow up plans, etc).

The successful candidate will need to demonstrate
To be effective in role, experience of the following will be essential:
- Demonstrable experience working in a PMO environment delivering complex technology enabled / tech transformation projects (Consumer Goods experience is a plus, but not essential).
- Proficiency in project, programme, portfolio management processes and principles across Agile and Waterfall delivery types.
- Demonstrable experience of project tracking and progress reporting in a systematic and robust way.
- Robust analysis, problem-solving, root-cause analysis, and holistic thinking skills with the ability to constructively challenge to get to the best possible outcome.
- Proven stakeholder management skills across organisational levels, up to and including senior stakeholders.
- Strong interpersonal (communication, presentation, facilitation) and organisational skills.
- Ability to manage multiple projects simultaneously and prioritise tasks effectively, delivering to time and quality.
- Ability to think big picture as well as hold the detail.
- Experience working as part of cross-functional, cross-geographical delivery teams.
- Adaptable mindset with a strong ability to work through ambiguity and prioritise and adapt delivery approach in a changing environment.
- Hands-on, "doer" with experience with PM tools e.g. MS Project, MS P4W, Jira, Confluence, Teams.
- Ability to quickly establish and maintain strong relationships at various levels of the organisation.
- Team player and able to work collaboratively with and through others.

Preferred experience:
A project management certification, for example : (Project Management Professional, PMP), Certified Associate in Project Management (CAPM), Foundataion/PRINCE2 Practitioner; Certified Project Management Practitioner (CPMP).
Scruminc. Agile Scrum Master certification.
