Position Overview

The Executive Assistant will play a critical role in providing high-level support to the CEO, CFO, and MD in the Chemicals & APIs business. This position demands exceptional organizational, communication, and multitasking skills to ensure smooth execution of leadership priorities. The role involves managing schedules, coordinating strategic meetings, preparing business reports, handling confidential information, and acting as a bridge between senior leadership and internal/external stakeholders. The Executive Assistant will contribute to operational efficiency and enable leadership to focus on core business and strategic decision-making.

Responsibilities

· Manage and maintain the MDs calendar, including scheduling appointments, meetings, and travel.

· Plant Operation Activities and trace it.

· Prepare agendas, take minutes, and follow up on action items from meetings.

· Organize and coordinate complex travel itineraries (domestic and international).

· Co- ordinate and Manage for any event for Exhibition.

· Visa Process and Other requirement for Foreign travel.

· Maintain filing systems and ensure records are up-to-date and confidential.

· Liaise between the MD and internal departments, clients, stakeholders, and external partners.

· Anticipate needs and proactively manage information flow and priorities.

· Manage special projects as assigned by the MD.

· Support the MD in project planning, budget tracking, and meeting deadlines.

· How to stay aligned on priorities when role of CXOs come with tint of volatility/juggling multiple priorities.

· How do you resolve conflict in managing it nary of CEO/CFO.

· How to ensure that leadership stays focused on high impact tasks.

· What are the tenets of conducting an effective/efficient meeting.

· Have you had the experience of preparing presentations, leadership/board papers.

· How do you track key action items and follow-through to ensure execution.

· How do you manage confidential documents. Communications etc.

· What would you focus on to make an impact in your role.

Qualifications & Skills:

· Bachelor's degree in Business Administration, Marketing, Chemistry, or a related field. A Master's degree is preferred.

· Minimum of 3-7 years of experience in EA.

· within the chemicals industry, with a proven track record of success.

· Strong leadership and team management abilities. - Excellent communication and negotiation skills.

· Fluency in English is required; proficiency in additional languages is a plus.

· Strategic thinker with a results-oriented mindset.

· Strong problem-solving and decision-making skills.

· High level of integrity and professionalism.
