**Roles and Responsibilities

  1. Pre-Event Planning

  2. Collaborate with the design and sales teams to understand event concepts, layouts, and production needs

  3. Conduct site visits

  4. Prepare BOQs (Bill of Quantities), vendor quotes, and timelines for fabrication and logistics

  5. Source and coordinate with vendors for décor, fabrication, florals, lighting, AV, and rentals

  6. Create production timelines, checklists, and deployment plans

  7. Vendor Management

  8. Finalize and manage third-party vendors for each event element

  9. Negotiate pricing, delivery terms, and contract agreements

  10. Coordinate production schedules and ensure timely execution

  11. Supervise vendor quality, on-site behavior, and adherence to brief

  12. On-Site Event Execution

  13. Supervise setup and teardown of all production elements at the venue

  14. Lead the on-ground production team and ensure real-time coordination

  15. Troubleshoot any last-minute issues or vendor delays

  16. Ensure the final output matches the approved designs and client expectations

  17. Budget & Resource Management

  18. Track production costs against budgeted estimates

  19. Minimize wastage of material, manpower, and resources

  20. Maintain inventory of reusable props and materials

  21. Ensure cost-effective execution without compromising on quality

  22. Post-Event Closure

  23. Ensure smooth dismantling and vendor wrap-up

  24. Maintain documentation of vendor bills, payments, and feedback

  25. Create a post-event report including learnings, challenges, and photos of setup

  26. Update internal records for vendor performance and production benchmarks

  • Coordinate with Creative Director, BD team, and Client Servicing throughout the project lifecycle

  • Lead internal production team and assign clear responsibilities for each event

  • Conduct team briefings, assign roles, and supervise execution

  • Be the primary point of contact for production queries on site**
