Position: Sr. Property Manager, Mumbai for University Campus
Business: Property and Asset Management, JLL Commercial
What this job involves
You will be overall responsible for Property Management Services provided at the client site. Your role will be to ensure smooth operations at the facility/site by enhancing efficiency using innovation and tool, technology. Your role will encompass and not be limited to:
- Ensuring manpower at the site is enabled to face challenges by guiding, grooming, developing and supporting them as and when required.
- Formulating suitable budgeting controls and monitoring of SLA's & KPI's for JLL and outsourced service partners towards effective service deliverance at site.
- Maintaining service level agreements and keeping performance indicator scores above excellence.
- Ensuring timely renewal of the contract agreement, timely submission of invoices and follow-ups for the payments. In case of any challenge, the same neds to be taken up with senior manager for solutions.
- Overseeing all vendor quotations, preparing the cost comparatives and submission of invoices as suitable.
- Ensure proper signoffs for attendance after careful verification and all the required details for cost sheet submission.
- Ensuring timely submission of client approved cost sheet to JLL office accounts team and following up for the invoice. Once the invoice generated, the same to be shared with client for booking and payment.
- Ensuring accuracy of billing information.
- Manpower planning for the site (playing a major role in their hiring process etc.)
- Conducting daily site rounds to ensure proper maintenance of all structures/facilities and services .
- Ensure cohesive work culture and teamwork for all the facilities.
- Assisting client SPOC in creating the annual budget for site operations and formulating strategies for effective cost management. Guiding client on cost optimization using best engineering methods and use of technology.
- Reviewing and ensuring data (hard and soft copy)/ e-mails/ client files are updated.
- Dealing with occupants' queries in verbal/ written form and providing necessary support in time bound manner.
- Ensuring robust complaint management process is in place and is followed meticulously by the CRE team.
- Communicating and circulating information to occupants' authorities on operational challenges.
- Ensuring Health and Life Safety regulations, operating manuals are adhered at the site by all concern.
- All risk assessment recommendations are implemented and enforced for compliances.
- Creating business continuity plan for the site.
- Resolving emergency maintenance matters with urgency.
- Maintaining exemplary relationship management with projects, consultants, contractors, govt. authorities, statutory agencies for ease and smooth operations and maintenance of the property.
- Creating and submitting the daily management report (DMR) and the monthly management reports (MMR).
- Coordinate and maintain the as-built drawing and transition document library.
- Work closely with the regional RO / HO / SME/ Training teams and ensure closures of all required reports.
- Facilitate the services under the Slogan "No Safety No Work".
- Job Summary: We are seeking an experienced and dynamic Senior Property Manager to oversee the management and operations of our university campus properties. The ideal candidate will ensure efficient functioning of campus facilities, maintain a safe environment for all stakeholders, optimize resource use, and expertly manage campus events and high-profile visits.
- Oversee day-to-day operations and maintenance of all campus buildings and grounds.
- Develop and implement strategic plan including budgeting and resource allocation.
- Manage property management staff, including facility managers, maintenance personnel, and custodial staff.
- Coordinate with university departments to address their specific property needs and requirements.
- Ensure compliance with relevant laws, regulations, and university policies related to property management.
- Implement and maintain effective security measures across the campus.
- Oversee renovation and construction projects, working with contractors and university stakeholders
- Manage vendor relationships and negotiate contracts for various services
- Develop and maintain a preventive maintenance program for all campus facilities
- Respond to and resolve property-related issues and emergencies promptly
- Implement sustainable practices and energy-efficient solutions across campus properties
- Prepare regular reports on property performance, maintenance activities, and budget expenditures
- Coordinate all campus events in collaboration with respective departments and faculties
- Manage high-profile visits to the campus, including state governors, university vice chancellors, and local political figures
- Develop and maintain efficient protocols for handling VIP visits, ensuring appropriate security, logistics, and hospitality arrangements
- Act as a liaison between property management, university administration, and external stakeholders for event-related matters
- Anticipate and proactively address potential issues related to campus events and VIP visits
- Ensure all event spaces are properly maintained, equipped, and ready for use
- Qualifications:
- Bachelor's degree in Facility Management, Business Administration, or a related field
- Minimum of 7-10 years of experience in property management, preferably in an educational or large institutional setting
- Proven track record of successfully managing large-scale properties and leading teams
- Strong knowledge of building systems, maintenance practices, and property management software
- Excellent project management and problem-solving skills
- Outstanding communication and interpersonal abilities
- Proficiency in budget management and financial reporting
- Familiarity with relevant laws and regulations pertaining to property management and safety
- Experience with sustainability initiatives and energy management practices
- Professional certifications such as RPA, FMA, or CPM are preferred
- Demonstrated experience in event management and coordination
- Excellent diplomatic skills and ability to interact professionally with high-profile individuals and VIPs
- Strong organizational skills with ability to manage multiple events and visits simultaneously
- Familiarity with protocol and etiquette for hosting distinguished guests
- Ability to remain calm and effective under pressure, especially during high-stakes events or visits
- The successful candidate will play a crucial role in maintaining and enhancing the campus experience for all university stakeholders, efficiently managing facilities, coordinating events, and handling high-profile visits. The ability to work closely with university administration and the client SPOC is essential for success in this dynamic and multifaceted role.

Understanding and managing people dynamics is core to your role. You must have a keen eye for detail and have excellent problem-solving skills. You must have ability to plan the event, orientation programme, VIIPs meetings etc in a short notice.
Qualifications
You will have a Degree / Diploma in Electrical/Mechanical /Civil /Marine Engineering OR equivalent, with min 7 to 8 years of work experience in Facility Industry /Real Estate/ Hotel or Construction Industry. For residential sites candidates with residential experience will be preferred.
