Digital Tool Solution Architect

Reporting Manager: Head of Group Transformation ModelPurpose of the job: The Digital Tool Solution Architect will be the primary accountable owner for the design, management, and continuous development of the Group Transformation Model's digital solution, currently housed in Smartsheet. As one of the three core pillars of the Group Transformation Model (Digital Tool, Professional Family, and Best Practice Portal), the digital solution serves as the primary platform supporting strategy-to-execution processes across the Sodexo Group (>1,000 initiatives at any given time).

The role will ensure the platform operates 24/7/365, integrating Smartsheet with Microsoft Teams, SharePoint, Power BI, Power Apps, and other digital tools to enable portfolio management, investment prioritization, and execution capability across Group, Region, and Local levels. The Digital Tool Solution Architect will act as the technical evangelist for the Group Transformation Model, driving the platform's adoption, performance, and alignment with business requirements. The Digital Tool is designed and managed inhouse and owned by the Digital Tool Solution Architect.

The role involves close collaboration with Transformation Leads and Dimension Heads to operationalize the Group Transformation Model, ensuring the Digital Tool aligns with the Professional Family and Best Practice Portal. Digital Tool Command Centre ManagementLead the Command Centre for Smartsheet within the Group Transformation Model.

Design, Build, Update and Maintain Toolkit, Module, Blueprint. Design, build, and maintain Smartsheet architecture across sheets, reports, dashboards, automated workflows, and WorkApps. Set up, maintain, and optimize Bridge API, Data Shuttle, and Data Table for data automation.

Develop, implement, and maintain SOPs for digital tool usage in the Group Transformation Model. Act as the technical owner, ensuring the digital solution meets evolving business requirements. Manage administrative controls, including user access, permissions, and integrations.

Ensure alignment with Sodexo's data security and compliance protocols. Solution Design & DevelopmentGather business requirements from Leadership, Transformation Leads, and Dimension Heads. Design and develop tailored Smartsheet solutions to support strategy-to-execution processes.

Design and develop centralised Smartsheet Toolkits, Modules, Blueprint to support the Group Transformation Model. Collaborate with Smartsheet Developer Team to build custom solutions when needed. Integrate Smartsheet with Power BI, Power Automate, Power Apps, and other PPM tools via API.Connect third-party applications such as chatbot solutions, digital adoption tools, and collaboration platforms into the Smartsheet ecosystem.

Build interactive dashboards and reports providing real-time visibility into transformation progress. Data Analytics & VisualizationVisualise, Industrialize and Develop integrated dashboards and advanced data models using Smartsheet and Power BI.Define the Design Logic and maintain the consistency across Sodexo. Automate data flows between Smartsheet and Power BI through Power Automate and Data Shuttle.

Design and maintain performance dashboards for initiative tracking and KPI measurement. Support Transformation Leads in leveraging data insights to enable better decision-making. Governance & Access ControlContinuous Engagement as the Admin Touchbase with the Global Dimension Head, Region and Country Strategy Head and Transformation Lead.

Define and maintain governance rules for Smartsheet usage across Sodexo. Implement and manage user access through WorkApps. Ensure all user permissions align with data security protocols and business requirements.

Partner with Sodexo TDDi team for license management and technical support. Training & AdoptionCollaborate with the Communication and Training Specialist to drive tool adoption. Assist Communication and Training Specialist in Design and deliver comprehensive training programs for Professional Family members, Transformation Leads, and Dimension Heads.

Assist Communication and Training Specialist in Develop user manuals, e-learning content, and best practice guides. Provide technical support to Group Transformation stakeholders. Assist Communication and Training Specialist in Design and integrate SharePoint pages/sites to house supporting content and resources

Focus on UI and UXDesign intuitive user interfaces that enhance the overall user experience. Continuously improve the user journey across Smartsheet, Power BI, and integrated digital tools. Gather user feedback to optimize usability and reduce friction points.

Collaborate with stakeholders to ensure design consistency and simplicity across all digital solutions. Promote best practices for UI/UX to drive user adoption and satisfaction and define the Way of

Working. Continuous ImprovementStay updated on new Smartsheet features, best practices, and emerging technologies. Drive continuous improvement in digital tool solutions to enhance user experience and efficiency.

Align digital solutions with Sodexo's evolving Way of Working and organizational changes.

Ensure the Group Transformation Resource Hub and Portal content is up-to-date and aligned with business processes. Propose and implement innovative digital tool solutions to enhance transformation delivery. Deliver continuous enhancements and innovations to maximize execution capability.

Ensure the digital tool is always aligned with the latest business processes including Group Strategy to Execution Process, Annual Business Planning Cycle, and Regional Roadmap Presentations. Data Integrity & SecurityAccountable for data integrity and security across all transformation initiatives. Ensure optimal data capture to support portfolio choices, investment prioritization, and dependency management.

Maintain alignment with Group TDDi data security protocols and external hosting requirements. Strategic Partnership ManagementManage the day-to-day partnership with Smartsheet in line with contractual arrangements. Influence the Smartsheet product roadmap to align with Sodexo's business needs.

Leverage Smartsheet's innovation capabilities to continuously enhance the Group Transformation Model. Context and main issues The strain on data architecture and configuration will be extensive in this role bearing in mind the co-ordination of change initiatives across the group – this will include forming interfaces from ERP, Salesforce CRM, SoPerform, STEP and TriskellSupport the Director role holder to 'co-ordinate and join up' Strategic Initiatives across the Group to secure Execution and deliver the anticipated return on investment of initiatives (as per business cases)Support the Director role holder to use the digital tool and associated 'real time data' value to help rebalance Sodexoto manage and govern execution & change (leading indicators) with the same discipline as rigor as the 'run' of the business

Provide direct systems support to senior and key stakeholders across the group in the configuration of initiative planning, data and dashboard configuration and reporting. Basic Qualifications:Bachelor's or Master's degree in Computer Science, Information Systems, or related field. Minimum 8-15 years of experience in digital tool architecture, solution design, and implementation.

Expert in Smartsheet architecture, administration, and advanced features (Data Shuttle, Control Centre, Bridge, Dynamic View). Proficient in Power BI, Power Automate, Power Apps, and API integration. Strong understanding of PPM digital tools and Strategy to Execution processes.

Excellent data analytics and visualization skills. Experience in training delivery and technical support. Strong stakeholder management and communication skills.

Ability to work independently and lead a small team. Experience in managing external vendor relationships and service providers
