- Area of Responsibility Activities / Description
Front Desk -Attending all in/out telephone calls, manning of desk and passing on messages to resp.
employees - Attending all in/out postage & couriers (Keeping entry in register). Ensure confidentiality as
directed - Welcoming and guiding guests/visitors/ship crew in the office. Ensure no delays.
- Handling ship crew mail packets delivery
- Managing decorum of the reception area, front desk and all the meeting rooms
- Managing EPABX system along with PA system Operation
- Managing Repairs and Maintenance of the premises with the help of onboard vendors Housekeeping &
security - Allocate work to housekeeping staff & monitoring housekeeping work, prepare timetable
and periodic review with improvement plan - Dealing with HK agency's authorities in case of any concern/requirement/dispute
Admin - Keeping track of AMC services such as pest control, Air conditioners, coffee machine etc.
Keeping stock of stationery/Tea/Coffee/Milk & Biscuits and other office consumables - Should be familiar with purchasing of various products required for Admin department and
managing office
Cafeteria - Managing upkeep of cafeteria and all the pantries within office area
- Maintaining stock and inventory of cafeteria consumables and crockery
Courier Management - Dealing with courier agencies and internal stakeholders and keeping record of the same
and generating periodic MIS
MIS - Managing inventory of actuals vs budget expenses of the department
- Inventory of monthly billing of the department
- Follow up with the finance team for vendor payments and keeping record of the same
Events - Should be familiar with organising of various employee engagement activities
- Various arrangements for crew seminars, Trainings etc.
- Supporting Company's Annual events
Employee Support - Employee Birthday wishes, Quarterly newsletter dispatch, Employee ID card Issuance
- Provide assistance to HR, accounts, crewing & other departments if & when required
