About the team:
We are looking for an experienced Consultant (
Professional Services Operations Specialist
) with 5+ years of experience to be based out of Mangalore office.
Are you passionate about bringing structure, quality, and insights into project execution? As a
Professional Services (PS) Operations Specialist
in the Corporate PMO, you'll play a key role in ensuring our professional services run smoothly and efficiently. This is a role where you'll be at the heart of project setup, reporting, and process improvements – with the chance to influence both operational excellence and business outcomes directly. You'll be part of the Order-to-Delivery team in Corporate PMO (Project Management Office), a central function supporting our global Professional Services organization. We are a small but highly collaborative team dedicated to enabling efficient project execution, consistent processes, and data-driven insights. Our customers are primarily business units, project managers, and senior stakeholders across different geographies. We act as the link between operations, finance, and delivery teams, ensuring standards are followed, projects are set up correctly, and reporting is reliable.

Responsibilities:

  • Act as a key support and improvement partner for PS leadership, ensuring alignment with PS strategy, process owners, and finance stakeholders.
  • Track and follow up on project performance, pipeline, and resourcing, delivering regular (weekly, monthly, and ad-hoc) updates.
  • Leverage existing reports to support financial and project reporting/analysis, ensuring compliance with PS frameworks and governance standards.
  • Collaborate with cross-functional teams on reporting, issue resolution, and implementation of system enhancements/customizations.
  • Support onboarding activities, prepare training materials, and maintain updated PS process guides and standards.
  • Participate in PS health check assessments, project closure reviews, and continuous improvement initiatives.

Your workday, your tasks and mandatory skill set:
Each day at work in the PS team brings excitement and variety. You can expect a mix of operational responsibilities and improvement activities involving but not limited to:

  • Project Setup & Quality Assurance: Create, maintain, and QA project structures in line with corporate standards.
  • Reporting & Analysis: Prepare utilization, financial, and operational reports; analyze trends to prevent revenue leakage.
  • Demand & Pipeline Support: Document PS demand, assist in pipeline reviews, and help forecast workload and resource needs.
  • Process & Systems Support: Contribute to NetSuite improvements, test customizations, and help refine operational processes.
  • Knowledge & Training: Maintain process documentation, support training materials, and ensure knowledge sharing across the organization.

Your work will combine hands-on tasks that keep the business running with analytical and improvement-focused activities that help us work smarter.

Required Skills:

  • A bachelor's or master's degree in business administration, Finance, IT, or a related field.
  • 5+ years of experience in project administration, operations, or PMO support.
  • Proven experience in project management
  • Strong skills in data handling and reporting (Excel and/or BI tools).
  • Experience with ERP/PSA tools (NetSuite experience is a strong advantage).
  • Excellent attention to detail and a structured way of working.
  • Strong communication skills in English, both written and spoken.

Nice-to-have / plus competencies

  • Certifications such as PRINCE2, PMI, or Agile are an advantage.
  • Experience working in an international or matrix organization.
  • Proven ability to drive process improvements or contribute to system testing/customizations.
