**Job Summary**:
The Front Office Executive serves as the face of the clinic, managing client interactions, scheduling appointments, and providing administrative support to ensure the efficient operation of the clinic. This role requires strong communication skills, a friendly demeanor, and the ability to handle multiple tasks in a fast-paced environment.

**Key Responsibilities**:

- **Client Reception & Interaction**:

- Greet patients and visitors with a warm, professional attitude.
- Handle patient inquiries both in person and over the phone, providing information about services, appointments, and pricing.
- Manage patient check-in and check-out procedures, ensuring all necessary forms and documentation are completed.
- **Appointment Management**:

- Schedule and coordinate appointments for consultations, treatments, and follow-ups.
- Send reminders for upcoming appointments and reschedule appointments when necessary.
- Maintain accurate appointment logs and manage any delays or cancellations efficiently.
- **Patient Records & Data Management**:

- Maintain accurate and updated patient records in the clinic’s system.
- Process patient registration, including insurance and payment details.
- Ensure confidentiality and security of all patient information in accordance with clinic policies and regulations.
- **Payment Handling**:

- Handle billing and invoicing for services rendered.
- Process payments, including cash, credit cards, and insurance claims.
- Provide receipts and maintain accurate records of transactions.
- **Administrative Support**:

- Assist with the daily administrative tasks of the clinic, including filing, data entry, and ordering office supplies.
- Support doctors, nurses, and other clinic staff by providing any necessary administrative assistance.
- Coordinate with vendors for any clinic-related supplies or services.
- **Customer Relationship Management**:

- Build and maintain positive relationships with patients to ensure a high level of customer satisfaction.
- Handle patient feedback and complaints professionally, escalating issues to management when necessary.
- Promote the clinic’s services, products, and skincare treatments to potential clients.
- **Clinic Maintenance**:

- Ensure the front desk and waiting area are clean, organized, and welcoming.
- Monitor inventory of brochures, promotional materials, and other clinic-related documents.

**Qualifications & Skills**:

- **Education**: High school diploma or equivalent; a degree in business administration, healthcare management, or a related field is a plus.
- **Experience**: 1-3 years of experience in front desk, reception, or administrative roles, preferably in a healthcare or skin care setting.
- **Skills**:

- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in using office software (Microsoft Office Suite) and appointment scheduling software.
- Ability to work under pressure in a busy environment.
- A professional and friendly attitude, with a focus on customer service.

Pay: ₹12,000.00 - ₹20,000.00 per month
