**Job Summary**:
The Secretary is responsible for providing administrative and clerical support to ensure smooth office operations. This role includes managing schedules, organizing meetings, handling communications, maintaining office records, and performing general office tasks. The Secretary must be highly organized, detail-oriented, and able to manage multiple tasks efficiently.

**Key Responsibilities**:

- **Administrative Support**:

- Provide general administrative and clerical support to the management or team.
- Prepare, organize, and maintain files, reports, and other documents.
- Handle routine office tasks such as photocopying, scanning, faxing, and mailing.
- Manage and order office supplies, ensuring stock levels are maintained.
- **Scheduling & Calendar Management**:

- Manage and organize appointments, meetings, and events for executives or team members.
- Coordinate and schedule conference calls, meetings, and travel arrangements.
- Ensure all relevant documentation and materials are prepared in advance for meetings or appointments.
- Prioritize and adjust scheduling to accommodate urgent matters or changing priorities.
- **Communication Management**:

- Take and relay messages, ensuring proper follow-up.
- Handle client and visitor inquiries in a professional and courteous manner.
- **Meeting Coordination**:

- Organize and schedule meetings, ensuring all logistics, including meeting rooms and technology, are arranged.
- Prepare agendas, take minutes, and ensure timely distribution of meeting notes and action items.
- Follow up on action items and tasks from meetings to ensure completion.
- **Document Management**:

- Create, edit, and maintain documents, presentations, and reports.
- Organize and maintain digital and physical filing systems, ensuring documents are easy to access and securely stored.
- Handle confidential information with discretion and in accordance with company policies.
- **Travel Arrangements**:

- Book travel arrangements, including flights, hotels, and ground transportation.
- Prepare detailed itineraries and ensure all necessary documents are available for travel.
- Handle expense reports and reimbursements related to business trips.
- **Office Management**:

- Ensure the office environment is organized, clean, and efficient.
- Supervise or assist with the work of junior administrative staff or office assistants.
- Assist with onboarding new employees, including preparing materials and organizing workspace.
- Handle basic HR-related tasks such as filing employee records or arranging training sessions.
- **Miscellaneous Tasks**:

- Assist with special projects and ad-hoc administrative duties as needed.
- Coordinate company events, celebrations, and social functions.
- Perform any other tasks assigned by management to ensure smooth office operations.

**Required Skills and Qualifications**:

- **Education**:

- High school diploma or equivalent (required).
- A diploma or degree in business administration, office management, or a related field (preferred).
- **Experience**:

- Minimum 6 months of experience in a secretary, administrative, or office support role (preferred).
- Experience with office management, scheduling, or document handling.
- **Skills**:

- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and other office software.
- Ability to manage multiple tasks simultaneously and meet deadlines.
- High attention to detail and accuracy.
- Strong interpersonal skills and the ability to interact professionally with internal and external stakeholders.

Pay: ₹15,000.00 - ₹25,000.00 per month
