**Job Title**: Executive Assistant **Department**: Administration / Office of the Director / Management **Location**: Worli **Reporting To**: [CEO / Managing Director / Group Head / Senior Management]
**Job Purpose**:
The Executive Assistant will provide high-level administrative and operational support to senior management, ensuring efficient day-to-day functioning of the executive office. The role requires exceptional organizational, communication, and multitasking skills, along with the ability to handle sensitive information with discretion.
**Key Responsibilities:1. Administrative Support**
- Manage the executive’s calendar, schedule appointments, and coordinate meetings.
- Prepare meeting agendas, minutes, and follow up on action items.
- Handle travel arrangements (flights, accommodation, itineraries, etc.).
- Draft, review, and manage correspondence, reports, and presentations.
**2. Communication & Coordination**
- Act as a point of contact between the executive and internal/external stakeholders.
- Maintain professionalism and strict confidentiality in all communications.
**3. Office & Documentation Management**
- Maintain organized filing systems (electronic and physical).
- Manage document approvals, expense reports, and reimbursements.
- Coordinate with HR, Admin, and Accounts teams for inter-departmental needs.
**4. Project & Task Management**
- Assist in the preparation and tracking of key projects, reports, and presentations.
- Support in organizing company events, board meetings, and conferences.
- Conduct basic research and prepare briefing materials as required.
**5. Confidential Support**
- Handle confidential and sensitive information with utmost discretion.
- Maintain records related to strategic decisions and management discussions.
**Qualifications & Requirements**:
- Bachelor’s degree in Business Administration, Management, or a related field.
- 3-7 years of experience as an Executive Assistant, preferably in a corporate environment.
- Excellent written and verbal communication skills.
- Strong organizational, planning, and multitasking abilities.
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools.
- Discretion, integrity, and the ability to work under pressure.
