This role is responsible for the day-to-day scheduling of timely delivery of all customer orders, maintaining customer service expectations and meeting appointment schedules. This includes customer service, working in a timely manner, cost effective scheduling and coordination of the pickup and delivery of loads as well as ensuring the company’s owner operator fleet runs safely and in compliance with U.S. protocols and procedures. This role is also responsible for the proper execution of dispatch and planning functions, including start of day and end of day processes, ensuring all orders are assigned for on time service and all available capacity is properly utilized. This position regularly will track and trace drivers from the beginning of their work assignment until completion, trouble-shooting driver issues and keeping external and internal customers updated on driver ETA and any delays. This role is responsible to maintain proper records and ensure delivery schedules, route completions and customer contact information is recorded in realtime in the dispatch operating system in accordance with company operating procedures. Additionally, this position requires knowledge of and demonstrated performance of the dispatching activities in accordance with DOT regulations, hazardous material regulations, hours of service regulations, overweight laws.
**Responsibilities**:
- Plan, organize, and timely assignment of daily route delivery schedules based on customer requirements and driver availability, making appropriate updates/ changes as necessary.
- Communicate daily load delivery assignments to drivers, providing specific loading and shipping requirements consistent with customer orders and expectations. Consider unique freight handling characteristics and sensitive delivery requirements of perishable freight.
- Monitor in-transit deliveries managing service issues in order to ensure on-time delivery of loads. When necessary, evaluate alternatives in order to make the best overall decision based on service requirements, seasonal factors, customer relations, and driver needs.
- Troubleshoot, assess and respond to service issues, coordinating resolution with drivers and customers.
- Complete incident/accident reports as necessary, ensuring the proper information is obtained from the drivers in accordance with company operating procedures.
- Review correct billing information on incoming driver sheets.
- Ensure all internal/external paperwork meets all company and DOT regulations and procedures.
- Generate operational reports as requested by Management, documenting service-related metrics, including pick-ups (scheduled, missed, extra pick-ups, etc.), route completions and current driver locations.
- Respond to customer inquiries regarding transportation and delivery issues and record status and final resolution in the tracking system.
- Maintain accurate records in the dispatching data system and regularly update delivery times, driver status, issues and customer contacts.
- Document any shortage on orders, investigate reasons for occurrence and inform carrier of shortage to get compensation or to resolve issue with customer.
- File claims for any loss or damage on inventory and notify management.
- Ensure driver and fleet compliance with U.S. procedures, protocols and regulations.
- Adhere to company safety policies and procedures, including monitoring driver hours, ensuring compliance with US regulations and protocols, and ensuring dispatched equipment and tools have been authorized for safe operating condition by the Lead Mechanic.
- Establish and implement the tracking of key performance indicators/metrics to monitor the effectiveness of business operations and performance against established service levels. Provide monthly reporting to management on performance outlining remediation plan for variances.
- Maintain proficiency with industry technology and equipment by participating in continued education and training opportunities both on the job and externally.
- Covering assets and drivers as per planning by negotiating with brokers.
- Other duties as assigned.
