- We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting with daily office needs, and managing our company’s general administrative activities. The administrative assistant ensures the smooth running of our company’s offices and contributes to driving sustainable growth.**Requirements**:
**Key Qualifications**
- Proven experience as an Administrative Assistant or Office Admin Assistant
- Proficiency in MS Office (MS Excel, MS Word, and MS PowerPoint, in particular)
- Familiarity with office management procedures and basic accounting principles
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- The ability to display a high level of integrity and professionalism in dealing with people at all levels is imperative.
- Ability to utilize tact, discretion, and good judgment at all times, especially when exposed to sensitive or confidential material.
- Ability to identify critical issues quickly and navigate priorities based on last-minute changes.
- Displays a positive and approachable personality.
- Have the initiative to meet the demands of the team efficiently.
- The ability to work successfully in a team environment and build effective working relationships inside and outside the group is essential.
- Flexibility/adaptability as this position has an extensive range of tasks and grows with the team’s growth.

**Description**
- Coordinate and oversee all office activities
- Order office supplies and research new deals and suppliers/vendors
- Track stocks of office supplies and place orders when necessary
- Control the office supplies state and make sure it is in accordance with office needs
- Maintain contact lists of vendors for supplies and services
- Organize and schedule appointments with vendors & third parties
- Petty cash management & Submit and reconcile expense reports
- Provide general support to visitors
- Liaise with executive and senior administrative to handle requests and queries from senior managers
- Coordinate office activities and operations to secure efficiency and compliance to company policies
- Support budgeting and bookkeeping procedures
- Assist with payroll processing
- Assist with government filing and submitting
- Assist colleagues whenever necessary
- Answer and direct phone calls
- Assist in the preparation of regularly scheduled reports
- Supervise cleaning crew and cleanliness of office space
- Coordinate and participate in office space planning, maintenance, and renovations when necessary
- Perform review of office facilities and infrastructure from time to time. Co-coordinate with vendors if any repair & maintenance is required.
- Develop and maintain a filing system, asset management
- Perform asset auditing and maintain records from time to time.
- Organize and manage inventory for employee devices. Including shipping, tracking, and distributing.
- Set up team events including managing logistics and interfacing with external vendors.
- Assist with new hire onboarding.

**Education & Experience**
- Should have 0-3 years of experience in a similar function
- Bachelor's degree
