We are a design oriented, convergent firm in which our professional roster consists of architects, interior designers, planners, urban designers, graphic designers, construction administration specialists and several other professional disciplines.
**The Opportunity**:
**Office Operations**
- Assist with local day-to-day operations (supply inventory, conference room reservations, etc.)
- Review/approve local vendor invoices (for routine, contracted services)
- Review expense reports, check for receipts, and submit to AP
- Manage timesheet process (review/approve timesheets, provide guidance to staff regarding corrections, send reminders about timesheet completion)
- Coordinate/plan office-wide staff events (L&Ls, holiday parties, wellness events, workshops, etc.), in conjunction with Operations Manager
- Track and Maintain Business Licenses, as needed
- Coordinate seating moves based on project needs (working in conjunction with Ops Manager) including keeping the seating plan up to date
**Facilities Management**
- Liaison with building management (building access, concierge, office cleaning, maintenance/repair, etc.)
- Coordinate and facilitate with building management regarding events, fire drills, inspections, etc.
- Conduct weekly office walk through, compile list of maintenance repairs, and coordinate with bldg. mgmt. for resolution
- Coordinate office renovation projects
- Manage/enforce firm wide copier contract
**Recruitment & Onboarding**
- Assist Operations Manager, as needed
**Special Projects (including, but not limited to**)
- Assist with Return-to-Office planning and support during and after pandemic
- Assist with and provide support during, on-location support, etc.
**Regional Support**
- Provide back-up support for regional admins, as needed (PTO, workload support, etc.)
**Required Qualifications**
- Associate or Bachelor’s Degree required
- Minimum of 5-7 years of experience as Administrative Assistant, Office Administrator, or similar, for a small to medium size business entity; Experience with Architecture or Engineering firms strongly preferred.
**Software skills**
- MS Office suite (Word, Excel, Outlook, PowerPoint); familiarity with Deltek Vision and Adobe Suite (InDesign) a plus
