**Job Title: Office Executive**

**About Us**:
We are a leading firefighting company specializing in the procurement, supply, and installation of advanced firefighting systems for both residential and commercial buildings. We are looking for an organized and motivated **Office Executive** to manage the day-to-day administrative tasks of our office and support smooth operations.

**Key Responsibilities**:

- **Administrative Support**: Handle office correspondence, maintain files, and ensure the smooth flow of information within the organization.
- **Vendor Coordination**: Communicate with vendors to ensure timely procurement and delivery of materials.
- **Scheduling and Planning**: Assist in scheduling meetings, organizing calendars, and planning office activities and operations.
- **Documentation**: Maintain and update records related to projects, procurement, invoicing, and other essential documents.
- **Inventory Management**: Track and monitor inventory levels, working closely with the procurement team.
- **Customer Service**: Respond to client inquiries and assist with maintaining client relations by providing accurate information and timely support.
- **Office Supplies Management**: Ensure office supplies are well-stocked and assist with procurement when necessary.
- **Billing and Invoicing**: Assist with preparing and processing invoices, and follow up on payments.
- **Reporting**: Compile reports related to project progress, expenses, and office performance.
- **Other Administrative Tasks**: Support the team with various administrative duties as needed to ensure smooth operations.

**Qualifications**:

- Bachelor’s degree in Business Administration or related field (preferred but not mandatory)
- Proven experience in an administrative or office management role
- Strong organizational and multitasking skills
- Excellent communication and interpersonal skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Knowledge of basic accounting and billing procedures is a plus
- Ability to work independently and as part of a team
