Aakatva Architects is seeking a professional and friendly **Receptionist** to join our dynamic team. As the first point of contact for clients and visitors, you will play a vital role in maintaining the smooth operation of the office and ensuring a welcoming atmosphere.
**Key Responsibilities**:
- **Front Desk Management**: Greet clients, visitors, and staff, ensuring a positive and professional experience.
- **Telephone Handling**: Answer and direct incoming calls promptly, and take accurate messages when necessary.
- **Appointment Scheduling**: Manage the firm’s calendar, scheduling client meetings, appointments, and follow-ups.
- **Administrative Support**: Assist with office tasks such as filing, photocopying, document preparation, and data entry.
- **Client Interaction**: Provide information to clients regarding appointments, meetings, and general inquiries about the firm’s services.
- **Office Supplies**: Monitor and order office supplies to ensure the smooth functioning of the office.
- **Visitor Management**: Ensure visitors are guided to the appropriate staff members or meeting rooms.
**Skills & Qualifications**:
- Excellent communication and interpersonal skills.
- Proficiency in MS Office (Word, Excel, Outlook) and general computer skills.
- Professional appearance and demeanor.
- Ability to multitask and prioritize tasks efficiently.
- Previous experience in a receptionist or administrative role (preferably in an architecture or design firm) is a plus.
