**Responsibilities**:
**Maintain office operations**:
- Manage and organize office supplies, equipment, and inventory.
- Coordinate with vendors for office maintenance and repairs.
- Ensure a clean, safe, and well-organized office environment.
- Address any office-related issues or concerns promptly.
**Administrative support**:
- Answer phone calls, respond to inquiries, and redirect calls as necessary.
- Prepare and distribute letters, and other office documents.
- Schedule and coordinate appointments, meetings, and conferences.
- Take meeting minutes and distribute them to relevant parties.
- Assist in maintaining office policies and procedures.
**Record keeping and documentation**:
- Maintain accurate and up-to-date employee records, including contact information, attendance, and leave requests.
- Manage and file confidential documents, contracts, and reports.
- Retrieve and present data, reports, and statistics as required.
- Assist in preparing presentations, reports, and other documents.
**Financial administration**:
- Assist in managing office budgets and expenses.
- Process invoices, purchase orders, and expense reimbursements.
- Maintain financial records and ensure accuracy.
**Communication and coordination**:
- Liaise with internal teams, external vendors, and clients as required.
- Coordinate travel arrangements and accommodation for staff.
- Assist in organizing company events and gatherings.
- Maintain a professional and positive image of the company in all interactions.
**Requirements**:
- Bachelor's Degree from any Stream; additional education or certification in office administration is a plus.
- Proven experience as an Office Administrator or in a similar administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office management software.
- Excellent organizational and time management skills.
- Strong written and verbal communication abilities.
- Attention to detail and problem-solving skills.
- Ability to multitask and prioritize tasks effectively.
- Discretion and confidentiality when handling sensitive information.
- Strong interpersonal skills and ability to work well within a team.
