Travel Desk Executive

The Travel Desk Executive is responsible for managing and coordinating travel arrangements
for employees and executives. This role involves booking flights, hotels, transportation, and
other travel-related services. The Travel Desk Executive ensures compliance with the
company's travel policies, maintains travel records, and provides assistance to employees
regarding travel-related queries.
Key Responsibilities:
1. Travel Arrangements:
○ Book domestic and international flights, hotels, car rentals, and other travel
services.
○ Ensure cost-effective travel arrangements within the company’s travel policy.
○ Manage travel itineraries and ensure timely communication of travel details to
employees.
2. Documentation and Compliance:
○ Ensure all travel documentation, including visas, passports, and travel insurance,
are up-to-date and compliant with destination requirements.
○ Maintain records of travel-related documents and expenses for auditing
purposes.
3. Vendor Management:
○ Liaise with travel agencies, airlines, hotels, and other service providers to
negotiate rates and ensure high-quality service.
○ Evaluate and select appropriate travel vendors based on company requirements
and budget.
4. Travel Support:
○ Provide assistance to employees regarding travel-related inquiries and issues.
○ Handle changes, cancellations, and rescheduling of travel plans as needed.
5. Expense Management:
○ Process travel expense reports and ensure timely reimbursement to employees.
○ Monitor travel expenses and provide regular reports to management on travel
costs.
6. Policy Enforcement:
○ Ensure compliance with the company’s travel policy and recommend
improvements to the policy as needed.
○ Educate employees about travel policies and procedures.
7. Customer Service:
○ Deliver excellent customer service to employees, ensuring a positive travel
experience.
○ Address and resolve any travel-related problems or emergencies efficiently.
8. Technology and Tools:
○ Utilize travel management software and online booking tools to streamline the
travel booking process.
○ Keep abreast of new travel technologies and industry trends to enhance the
efficiency of travel services.
Qualifications:
- Bachelor’s degree in Hospitality, Business Administration, or a related field.
- Previous experience in a travel desk role or in the travel industry is highly desirable.
- Proficiency in using travel booking software and online travel tools.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Attention to detail and ability to work under pressure.
- Knowledge of travel regulations, visa requirements, and international travel procedures.
Pay: Up to ₹400,000.00 per year
