The Tender Executive plays a crucial role in the organization's procurement process by managing the tendering activities efficiently and effectively. This position requires a detail-oriented individual with strong organizational and communication skills, as well as the ability to work collaboratively with various stakeholders.
**Responsibilities**:
- Tender Preparation: Prepare tender documents in accordance with the organization's requirements and the specifications outlined by the client. This involves gathering all necessary information, including technical specifications, pricing details, and contractual terms.
- Tender Submission: Coordinate the submission process for tender responses, ensuring that all documentation is accurate, complete, and submitted within specified deadlines. This may involve liaising with internal teams and external partners to gather required information.
- Bid Management: Manage the entire bid process, from initial identification of opportunities to final submission. This includes conducting research on potential tenders, analyzing bid requirements, and developing strategies to enhance the organization's competitiveness.
- Contract Negotiation: Participate in negotiations with clients to finalize contract terms and conditions. This may involve clarifying issues, addressing concerns, and ensuring that the organization's interests are protected.
- Relationship Management: Build and maintain positive relationships with clients, suppliers, and other stakeholders involved in the tendering process. This includes addressing queries, resolving issues, and fostering long-term partnerships.
- Compliance: Ensure compliance with all relevant laws, regulations, and internal policies throughout the tendering process. This includes adhering to ethical standards, maintaining confidentiality, and mitigating risks.
- Reporting: Prepare regular reports on tendering activities, including bid status, success rates, and lessons learned. This information may be used to evaluate performance, identify areas for improvement, and inform decision-making.
- Continuous Improvement: Identify opportunities to streamline and improve tendering processes, systems, and procedures. This may involve implementing new tools or technologies to enhance efficiency and effectiveness.
**Qualifications**:
- Bachelor's degree in Business Administration, Marketing, Finance, or a related field.
- Proven experience in tender management, procurement, or related areas.
- Strong understanding of tendering processes, including bid preparation, submission, and contract negotiation.
- Excellent written and verbal communication skills, with the ability to effectively interact with internal and external stakeholders.
- Exceptional organizational and time management abilities, with a keen eye for detail.
- Knowledge of relevant laws, regulations, and industry standards governing tendering activities.
- Ability to work independently and collaboratively in a fast-paced environment.
- Certification in procurement or project management (e.g., CIPS, PMP) is desirable but not mandatory.
