We are seeking an experienced and proactive Office and Facility Manager to oversee the smooth functioning of our office facilities and administrative processes

**Responsibilities**:

- **Office Management**:

- Manage all office supplies, including ordering, maintaining, and distributing stationery, cleaning supplies, pantry supplies, hardware/software, ID cards, visiting cards, letterheads, etc.
- Allocate parking spaces appropriately and manage drawers/lockers allocation.
- Ensure pantry supplies are well-stocked and manage vendor relationships for pantry items.
- **Vendor Management**:

- Identify and onboard vendors for various services, obtaining competitive quotes, negotiating rates, issuing approved purchase orders, and maintaining contracts.
- Manage relationships with vendors, including annual maintenance contracts (AMCs) if required.
- **Office Maintenance & Housekeeping Management**:

- Ensure cleanliness and hygiene standards are maintained by coordinating with housekeeping staff.
- Oversee maintenance of office infrastructure, including lights, air conditioning, fire systems, plumbing, and pest control. Manage AMCs for equipment.
- Liaise with the building’s management office for any facility-related issues.
- **Liasoning and Events Management**:

- Coordinate with the society office for building-related matters.
- Arrange and manage events both in-house and outside the office, such as employee engagement events, campus interviews, and other activities.
- Assist HR department in organizing campus interviews, ProtoFest, and other outdoor activities.
- **Security and Discipline Management**:

- Supervise office security staff and manage the CCTV system.
- Manage access control systems including keys and biometric systems, office opening/closing procedures, and attendance logs/data.
- Monitor and enforce office discipline regarding timings and other aspects.
- **Travel Management and Outside Visits**:

- Handle travel bookings for employees, including travel, hotel, transport, insurance, forex, visa, etc.
- Manage any outside visits related to office work, such as meetings with partners/vendors, bill payments, and snack runs.
- **Saturday Work Supervision**:

- Supervise deep cleaning of the office on Saturdays and ensure all AMCs are conducted and maintained on time.
- Establish and maintain processes related to admin and facility management for efficient operations.

**Qualifications**:

- Any Graduate
- 4 to 6 years of experience in office management, facility management, or related roles.
- Strong organizational and multitasking skills.
- Excellent communication and negotiation abilities.
- Proficiency in MS Office suite and other relevant software.
- Knowledge of facility maintenance, vendor management, and event coordination.
