
Assistant Executive

We are seeking a highly organized and proactive **Assistant Executive** to support our senior executives in daily tasks, including administrative duties, scheduling, correspondence, and project management. This role requires a keen eye for detail, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment. The Assistant Executive will act as a key point of contact between executives, staff, and external partners.
**Responsibilities**:
- **Administrative Support**: Provide comprehensive administrative assistance to senior executives, including managing calendars, scheduling meetings, and arranging travel logistics.
- **Document Management**: Prepare, organize, and maintain documents, presentations, and reports. Assist with the creation and editing of business correspondence and official documents.
- **Meeting Coordination**: Schedule and organize meetings, prepare agendas, take minutes, and ensure follow-up on action items. Ensure executives are fully prepared for meetings by providing necessary materials.
- **Project Assistance**: Assist in the management of special projects, helping with tracking progress, setting deadlines, and coordinating with other teams or stakeholders to ensure timely completion.
- **Travel Arrangements**: Organize and coordinate domestic and international travel for executives, including flight bookings, hotel accommodations, transportation, and itineraries.
- **Event Planning**: Assist in the planning and coordination of corporate events, conferences, and team-building activities.
- **Confidentiality**: Maintain a high level of confidentiality and discretion while handling sensitive information.
- **General Office Management**: Support the day-to-day office operations, including ordering supplies, managing office logistics, and maintaining a clean and organized environment.
**Qualifications**:
- **Experience**: 1-3 years of experience in an administrative or executive support role, with a focus on providing executive-level assistance.
- **Education**: High school diploma or equivalent required. Bachelor’s degree in business administration or a related field is a plus.
- **Skills**:
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- **Attention to Detail**: Meticulous attention to detail and the ability to spot errors or inconsistencies quickly.
- **Problem-Solving**: Proactive and able to think critically to resolve issues independently or escalate as needed.
- **Professionalism**: High level of professionalism, with the ability to work well with all levels of staff and external partners.
- **Discretion**: Ability to handle confidential information with the utmost discretion and integrity.
