**Position**: Executive Assistant (Female) to Managing Director (Purchase)
**Location**: Kamal Vihar, Raipur
**Reports To**: Managing Director
**Position Summary**: The Executive Assistant to the Managing Director (Purchase) will provide high-level administrative support to ensure the efficient operation of the purchasing department. This role requires exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion. The Executive Assistant will act as a key liaison between the Managing Director and various stakeholders, ensuring smooth communication and effective management of purchasing activities.
**Key Responsibilities**:
- **Administrative Support**:
- Manage and maintain the Managing Director's calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents as required.
- **Meeting Coordination**:
- Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
- Arrange and manage logistics for conferences, workshops, and other events related to purchasing activities.
- **Project Assistance**:
- Assist in the preparation and execution of purchasing-related projects and initiatives.
- Conduct research and gather information relevant to purchasing decisions and strategies.
- **Documentation and Reporting**:
- Maintain accurate records and files related to purchasing activities, including contracts, agreements, and supplier information.
- Prepare regular reports and updates for the Managing Director on purchasing performance, supplier status, and other relevant metrics.
- **Confidentiality and Discretion**:
- Handle confidential and sensitive information with the utmost discretion and professionalism.
- Ensure compliance with company policies and procedures related to information security and confidentiality.
- **Process Improvement**:
- Identify opportunities for improving administrative processes and efficiency within the purchasing department.
- Implement best practices and assist in streamlining administrative workflows.
**Qualifications**:
- **Education**: Bachelor’s degree in Business Administration, Management, or a related field preferred.
- **Experience**: Minimum of 5 years of experience in an executive assistant role, preferably within a purchasing or procurement environment.
- **Skills**:
- Exceptional organizational and time management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle multiple tasks and prioritize effectively.
- High level of professionalism and attention to detail.
**Working Conditions**:
- Office environment with standard working hours, with occasional requirements to work beyond regular hours based on project deadlines or meetings.
- Some travel may be required for meetings or events.
