As an Institutional Administrator & Front Desk Receptionist, you will serve as the face and backbone of our institution, ensuring seamless operations and exceptional customer service. This role demands a blend of administrative proficiency, communication finesse, and managerial acumen. Your responsibilities will encompass the following areas:
**Front Desk Receptionist Responsibilities**:
- Warmly welcoming visitors, students, and faculty, providing them with necessary information, and ensuring their needs are addressed promptly.
- Operating a multi-line telephone system, screening, and directing calls to appropriate individuals or departments, and taking concise messages when necessary.
- Maintaining a tidy and organized reception area, ensuring it reflects a professional image of the institution.
- Assisting in scheduling appointments, meetings, and events, and managing calendars as needed.
- Providing administrative support such as data entry, filing, and record-keeping to ensure efficient operations.
**Institutional Administrator Duties**:
- Overseeing the coordination of student batches, including enrolment, class scheduling, and maintaining accurate student records.
- Assisting in managing various administrative tasks such as procurement, inventory management, and facilities coordination.
- Collaborating with department heads and faculty to ensure smooth execution of educational programs and events.
- Providing partial management support by mentoring junior administrative staff, delegating tasks, and monitoring progress.
- Contributing to the development and implementation of institutional policies and procedures to enhance efficiency and effectiveness.
**Key Requirements**:
- A minimum of 1 year of experience in administrative and front desk receptionist roles, preferably in an educational or institutional setting.
- Excellent communication skills, both verbal and written, with a professional and courteous demeanour.
- Strong organizational abilities and attention to detail, with the capacity to manage multiple tasks simultaneously.
- Demonstrated ability to handle sensitive information with discretion and maintain confidentiality.
- Flexibility and adaptability to changing priorities and a fast-paced environment.
- A proactive and collaborative approach to problem-solving and decision-making.
- Bachelor’s degree preferred, but not required, in Business Administration or a related field.
