A **receptionist** is an administrative specialist who **greets guests**, manages the front desk, and performs basic support tasks. They typically sit in the main lobby area of an office, health care facility, or hospitality setting, such as a salon, gym, or hotel. As the first-person guests encounter upon visiting the office space, their responsibilities include:
- **Greeting Visitors**: Receptionists welcome guests as soon as they arrive at the office, ensuring a warm and friendly reception.
- **Directing Visitors**: They direct visitors to the appropriate person or office within the organization.
- **Handling Phone Calls**: Receptionists answer, screen, and forward incoming phone calls to the relevant employees.
- **Maintaining the Reception Area**: Ensuring that the reception area is tidy and presentable, stocked with necessary stationery and materials.
- **Managing Mail**: They receive, sort, and distribute daily mail and deliveries.
- **Office Security**: Receptionists maintain office security by following safety procedures and controlling access via the reception desk (including monitoring the logbook and issuing visitor badges).
- **Supply Management**: Ordering front office supplies and keeping inventory of stock.
- **Scheduling and Coordination**: Updating calendars, scheduling meetings, arranging travel, accommodations, and preparing vouchers.
- **Record Keeping**: Keeping updated records of office expenses and costs.
- **Clerical Duties**: Performing other clerical receptionist duties, such as filing, photocopying, transcribing, and faxing.
A successful receptionist should have a pleasant personality, excellent customer service skills, the ability to handle emergencies effectively, and strong multitasking and stress management abilities.
Pay: ₹15,000.00 - ₹20,000.00 per month
