Hydro Global Business Services (GBS) is an organizational area that operates as an internal service provider for the Hydro group. Its ultimate purpose is to deliver relevant IT, financial and HR business services to all business areas within the company.
**ROLE** **PURPOSE**:
This role will be responsible for administrative support to ensure efficient operation of Office.
The responsibilities under this role will be as below:
- Manage travel desk, such as booking flight/Bus/train tickets and catering for accommodation reservation for employees.
- Always provide administrative support to ensure smooth functioning of office.
- Maintain office supplies, check inventory and request office supplies as and when required.
- Ensure, office equipment’s are maintained as needed. Coordinate with service providers for timely preventive maintenance, troubleshooting failures/ calling for timely repairs and monitoring equipment operation.
- Coordinate with other departments to ensure compliance with established policies.
- Create Purchase requisitions for all the service providers.
- Managing filling/document system.
- Create and maintain database where required.
- Always ensure the upkeep of office.
- Assists with organizing events, when required.
Perform additional duties as and when required
**Work Experience**: 4-5 years of experience as office assistant.
**Industry Experience**: Administration field
**Education**: Minimum Bachelor’s degree
**Licensing/Certification**: Diploma/certificate in Administration preferred
**Functional Knowledge**: Basic office functioning, Drafting, Handling expenses, Document handling/filling, creating purchase requisition’s
**Technical Knowledge**: Proficiency in Microsoft office programs
**Language**: Fluency in English (written and spoken)
**Project Management**: May be a small project
