The opportunity
Project: A leading provider of portfolio rebalancing and trading solutions.
The role will be responsible to the front office assisting visitors efficiently, courteously and professionally in all front office-related functions, and maintaining a high standard of service and Hospitality at all times.
Your responsibilities will include:
- Welcoming visitors and directing appropriately.
- Using proper telephone etiquette while handling calls. Receiving, directing and relaying telephone messages to the concerned person. Being alert on suspicious calls and informing the line manager.
- Assisting in booking meetings and conference rooms.
- Providing assistance in general administrative activities.
- Coordinating with the facility team for event management.
- Processing of all invoices related to facilities for payment.
- Assisting HR in new joiner formalities.
- Managing the SEZ online entries, and issuing of SEZ and in-house ID cards to the new joiners. Assisting in the SEZ clearance for foreign visitors.
- Providing logistic arrangements for foreign visitors. Managing internal and external visitors.
- Ensuring main gate security clearance for all visitors.
- Understanding and using properly the mail, and message delivery.
- Monitoring the mailroom and library activities.
- Managing the stationery inventory.
- Adhering to all the safety procedures and keeping the management informed about any kind of unsafe situation.
- Participating in emergency evacuation procedures including crisis management and business continuity.
- Maintaining the front desk area properly at all times.
About you
You have a degree qualification. You have experience in handling front-office activities in a corporate environment. You have significant experience in visitor management. You have experience working in a multinational company or in a hotel background will be beneficial.
You are digitally savvy, especially in MS Office and can provide support to strong motivated teams. You will have a facilities management background and be hungry to grow your career and enjoy the opportunities Mace has to offer.
