**Purpose of Position**

**Key Accountabilities**

Office Administration:

- Manage day-to-day office operations, ensuring a clean, safe, and efficient working environment.
- Coordinate with facility management vendors for maintenance, repairs, supplies & office furniture & equipment’s.
- Organize office events, meetings, and team activities.
- Maintain office records such as all agreements related to office functioning, files, invoices and administrative documentation.

IT Asset Management:

- Maintain an updated inventory of all IT equipment (laptops, desktops, mobile devices, iPads, headphones & any other accessories etc.).
- Coordinate procurement, issuance, and return of IT assets.
- Work with the IT team or external vendors for repairs, upgrades, and technical support coordination related to server.
- Ensure IT assets are tagged, tracked, and documented accurately.

Procurement and Vendor Management:

- Source office supplies, equipment, and IT hardware/software in collaboration with procurement policies.
- Negotiate with vendors for best pricing, service agreements, and support contracts.
- Maintain vendor relationships and manage service-level agreements (SLAs).

Compliance and Policy Support:

- Assist in enforcing company policies related to office security, IT asset use, and data protection.
- Support internal audits related to administration and IT assets.

Employee Support:

- Assist new joiners with onboarding setup including workspace preparation, access cards, and IT equipment’s.
- Serve as the point of contact for administrative and basic IT queries from employees.
- Managing the exit employees IT assets handover

Reporting:

- Generate periodic reports on office operations, IT asset status, and administrative expenses.
- Track and report on asset lifecycle, maintenance schedules, and warranties.

**Key Decisions**
- Experience in managing multiple office locations or supporting remote teams.
- Basic technical knowledge of hardware and networking.
- Knowledge of workplace health and safety standards.

**Capabilities; Qualifications and Experience**

Any Diploma/Bachelor’s degree in Business Administration, Office Management, IT, or related field.
- 5+ years of experience in office administration and IT asset management.
- Strong organizational and multitasking skills.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook).
- Excellent communication, negotiation, and interpersonal skills.
- Ability to handle confidential information with discretion.
