A **Senior Purchase Executive** plays a crucial role in managing and overseeing the procurement of medical supplies, equipment, and other goods and services needed for the smooth functioning of the hospital. This position requires strong organizational, negotiation, and communication skills to ensure that the hospital operates efficiently while maintaining cost-effectiveness.
- Oversee and manage the purchase of medical and non-medical supplies, equipment, pharmaceuticals, and other essential items for the hospital.
- Conduct market research and analyze trends to find the best suppliers and cost-effective solutions.
- Review and approve purchase orders, ensuring they align with the hospital's needs and budget.
- Monitor the supply chain to ensure timely deliveries and adequate stock levels.
- Develop and maintain strong relationships with existing suppliers.
- Negotiate contracts, prices, and delivery terms with vendors.
- Identify and assess new suppliers to ensure competitive pricing, quality, and reliability.
- Resolve issues related to product quality, deliveries, and pricing with suppliers.
- Maintain accurate records of purchased items and inventory levels.
- Collaborate with the inventory management team to ensure appropriate stock levels for critical items, preventing stock outs or overstocking.
- Conduct regular audits to ensure the accuracy of the inventory.
- Ensure compliance with hospital policies, legal requirements, and industry standards in all purchasing activities.
- Stay up-to-date with healthcare regulations and safety standards related to medical equipment and supplies.
- Prepare reports on procurement activities and provide insights to management regarding purchasing performance.
- Prepare and manage budgets for purchasing activities.
- Monitor and control expenditure, ensuring that purchases are within the allocated budget.
- Evaluate cost-saving opportunities and implement strategies to reduce procurement costs without compromising quality.
- Supervise and guide junior purchase staff, providing training and support as needed.
- Work closely with internal departments like finance, logistics, and hospital departments to ensure the efficient flow of goods and services.
- Maintain records of all purchasing transactions, contracts, and correspondence.
- Prepare regular reports on procurement activities, including stock levels, expenditure, and supplier performance.
- Address and resolve any discrepancies in purchase orders, invoices, and deliveries.
- Act as a point of contact for internal departments regarding procurement issues.
- Strong understanding of hospital supply chain management, medical equipment, pharmaceuticals, and healthcare regulations.
- Negotiation and vendor management skills.
- Strong analytical and problem-solving abilities.
- Knowledge of inventory management and budget control.
- Proficient in procurement software and Microsoft Office Suite.
- Excellent communication and interpersonal skills.
- Ability to work under pressure and manage multiple tasks simultaneously.
