We are seeking a highly organised and proactive Executive Assistant to join our team. This unique position combines multiple roles including Office Manager, Personal Assistant, Property Manager, and Human Resources Specialist. **Key Responsibilities**
- **Executive Support**:
- **Manage and maintain executives’ schedules, appointments, and travel arrangements.**:
- **Prepare and edit correspondence, communications, presentations, and other documents.**:
- **Handle confidential information with discretion.
- **Office Management**:
- **Oversee day-to-day office operations, including supply management and equipment maintence.**:
- **Create and implement office policies and procedures.
- Personal Assistance**:
- **Assist with personal tasks and errands for executives as needed.**:
- **Coordinate personal and family appointments and schedules.
- **Property Management**:
- **Oversee property maintenance and ensure all properties are well-maintained by co-ordinating with tenants and contractors, suppliers, and service providers for property-related needs.**:
- **Human Resources**:
- **Assist with recruitment processes, including placing job adverts on Indeed and other platforms.**:
- **Manage employee onboarding and offboarding processes.**:
- **Maintain employee records and assist with payroll and benefits administration.
- **Administrative Tasks**:
- **Develop and maintain comprehensive manuals for each task and process within the organisation.**:
- **Set up and manage appointments and meetings.**:
- **Preparing workflow diagrams for different departments.**:
- **Formatting documents.**:
- **Preparation of contracts in DocuSign.
**Qualifications**
- Proven experience as an Executive Assistant, Office Manager, or in a similar role.
- Excellent organisational and multitasking abilities.
- Excellent written and verbal communication skills in English.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Familiarity with property management and human resources practices.
- High level of discretion and confidentiality.
