We are seeking a highly organized and detail-oriented Backend Executive to support the operations of our Dubai office for Frank N Frank and Holiday Homes. As a Operations Executive, you will play a crucial role in
Ensuring the smooth functioning of various administrative and operational tasks. You will work closely with other team members to maintain efficient backend processes and contribute to the overall success of the company.
**Responsibilities**:
- **Data Management**:Maintain and update records, databases, and digital files accurately and in a timely manner.
- **Document Handling**:Handle incoming and outgoing documents, including invoices, contracts, and reports, and ensure they are properly filed and archived.
- **Office Supplies**:Monitor and manage office supplies inventory, reorder supplies as needed, and maintain a neat and organized office environment.
- **Scheduling**:Help schedule meetings, appointments, and travel arrangements for team members as required.
- **Vendor Relations**:Coordinate with vendors and service providers for office maintenance and supplies procurement.
- **Expense Tracking**:Assist in tracking and reporting office-related expenses and ensure they are within budget.
- **Supporting Teams**:Provide administrative support to various departments as needed.
- **Compliance**: Ensure compliance with company policies and procedures in all backend activities.
**Other Responsibilties**:
- Confirm booking details (dates, guest numbers, special requests)
- Maintain up-to-date availability calendar across platforms
- Block dates when properties are unavailable or undergoing maintenance
- Respond to guest inquiries promptly
- Provide clear instructions (check-in/check-out, house rules)
- Address guest concerns or issues during stay
- Handle deposits, payments, and refunds securely
- Monitor payment status and follow up on overdue balances
- Coordinate cleaning services before and after guest stays
- Ensure property is well-maintained (check for damages, stocking supplies)
- Promote seasonal deals, discounts, or special offers
**Qualifications**:
- High school diploma or equivalent. A bachelor's degree is a plus but not mandatory.
- Proven experience in a similar administrative or backend role is preferred. Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team. Strong problem-solving skills and adaptability.
- Fluency in English is required, and knowledge of other languages is a plus. Knowledge of local regulations and office management in Dubai is an advantage.
