The Junior Tender Executive is responsible for assisting in the preparation, submission, and management of tenders and bids to secure contracts for the company. This role involves ensuring that tender submissions are compliant, competitive, and align with company goals and client requirements. **Key Responsibilities**: - **Tender Preparation**: - Assist in the preparation and submission of tender documents in a timely manner. - Gather necessary documents, certifications, and information required for tender submission. - Work closely with the tender team to ensure accuracy and completeness of submissions. - **Coordination and Communication**: - Liaise with internal departments (e.g., finance, legal, procurement) to gather input for tender responses. - Communicate with external stakeholders such as suppliers, subcontractors, or clients to obtain quotes or clarifications. - **Documentation Management**: - Maintain and update the database of all tender documents and correspondence. - Ensure all documentation complies with company and client standards. - Archive past tender submissions for future reference. - **Market Research**: - Conduct research on prospective tenders, including identifying opportunities and analyzing client requirements. - Monitor industry trends and competitor activities to enhance tender strategies. - **Compliance and Quality Assurance**: - Verify that all tenders comply with legal, technical, and financial requirements. - Review tender documents to ensure alignment with client specifications and company policies. - **Reporting and Analysis**: - Provide regular updates on tender progress to the Tender Manager or relevant stakeholders. - Analyze bid outcomes to identify strengths and areas for improvement. **Key Competencies and Skills**: - **Organizational Skills**: Ability to manage multiple tasks and meet deadlines effectively. - **Attention to Detail**: Strong focus on accuracy in documentation and data handling. - **Communication Skills**: Excellent written and verbal communication skills to interact with stakeholders. - **Analytical Thinking**: Ability to assess requirements, identify risks, and propose solutions. - **Team Collaboration**: Strong ability to work in a team-oriented environment. - **Proficiency in Tools**: Familiarity with MS Office Suite (Word, Excel, PowerPoint) and document management software. **Qualifications**: - Bachelor’s degree in Business Administration, Engineering, or a related field. - 1-2 years of experience in a similar role (preferred). - Knowledge of tendering procedures and contract management processes is an advantage. **Key Performance Indicators (KPIs)**: - Accuracy and timeliness of tender submissions. - Number of successful bids and contracts secured. - Adherence to compliance standards and deadlines. - Quality of tender documentation and presentations.
