**THE ROLE**
Snowflake has an opening in our Pune (MH, India) office for an adaptable, proactive, and diligent Workplace Coordinator.
**CANDIDATE TO POSSESS**:
You will be an extremely thorough self-starter who possesses outstanding customer service & organizational skills, and who demonstrates diligence and attention to detail. You will be the linchpin of our Pune office and be critical to the smooth running of the workplace. You will be comfortable taking the initiative to drive results with mínimal supervision, be solution-oriented, deal with ambiguity, rapid changes in priorities, and short deadlines, and have the ability to coordinate with multiple cross-functional internal and external stakeholders and vendors.
Reporting to the Workplace Operations Manager India, based in Pune (MH, India) you will supervise and manage a variety of office support functions and duties related to Workplace operations in Pune including, but not limited to:
- Take genuine care and responsibility for the entire workplace. You are responsible for keeping the office pleasantly maintained, safe, and ready for use at all times.
- Ensure an enjoyable, safe, supportive, and collaborative place to work and visit for employees, customers, and guests.
- Undertake physical inspection of the facilities and premises and prioritize maintenance as appropriate.
- Participate in planning all onsite events; team building activities, company events, etc.
- Provide facility support for all such events and meetings, including physical movement of furniture, equipment, boxes, and materials as needed; conference room set-ups, employee moves adds and changes, office and other supplies.
- Support the Food and Beverage program, coordinating daily break room services, tracking inventory, running a quality control, plan special food based employee engagement events, tracking expenses against the budget
- Help to ensure all building and maintenance practices, procedures, regulations, etc. are followed.
- Work with the on site team of Integrated Facility Management (IFM) team and Landlord’s building engineers to ensure all electro-mechanical and other building services systems and associated equipment, electrical equipment, and plumbing systems are maintained and operating properly.
- Ensure all building and maintenance policies, procedures, codes, regulations, etc. are followed.
- Identify, coordinate and supervise minor repairs of the facilities and premises, including painting, patching, office and kitchen equipment repairs, furniture, ceiling tiles, carpeting, etc.
- General equipment and furniture inventory management, utilization and moves.
- Assist yor reporting manager in feeding & updating data as well as preparing reports related to: Inventory, budget, budget Vs Actual, various Workplace technology apps, office occupancy (headcount Vs seats Vs seat utilization), preparing POs OR any other related work that might be assigned to you by your reporting manager.
- Assist Workplace Security in visitor and vendor management systems and requests. Assist with security badging and access requirements.
- You are Able to work independently and effectively within a teaming environment, assuming responsibility without direct supervision.
- You will always ensure professionalism and high levels of customer service.
- Respond to emergencies.
**WHAT YOU'LL HAVE**:
You will have been an exceptional communicator and the go-to person in previous organizations. You demonstrate a good track record of career growth & increasing responsibility in rapidly growing organizations. You are ready and willing to roll up your sleeves and do whatever it takes to ensure Workplace realizes its mission. Specifically, you will have;
- 5+ years of Workplace, Hospitality, or customer service experience in Real Estate & Facilities.
- Great communication skills and ability to work independently.
- Ability to manage multiple tasks in a fast-paced environment and handle interruptions with a positive, professional attitude.
- Be an extremely adaptable, self-starter with excellent customer service skills and a positive, ‘can do’ attitude and not a 9-5 mentality
- Proficient with MS Office (or equivalent) tools, project management tools and at developing reports and presentations
- Experience working with third-party vendors, especially with IFMs.
- Working Knowledge of technical installations such as HVAC, electrical, plumbing, and building systems.
