Job Summary:
We are seeking a highly organized and proactive Office Coordinator to support our Sales Team in managing sales order tracking, placement, factory coordination, sales analysis, and credit control. This role is critical to ensuring smooth back-end operations, timely order processing, and accurate reporting to optimize team efficiency and customer satisfaction.
Key Responsibilities:
- Sales Order Tracking & Placement:
- Monitor and track all incoming sales orders.
- Coordinate timely order placement with relevant departments and ensure proper documentation.
- Maintain records of order confirmations, dispatch schedules, and delivery timelines.
- Factory Coordination:
- Liaise with production/factory teams to ensure smooth execution of orders.
- Follow up on production schedules and resolve delays or issues promptly.
- Communicate clearly between sales and manufacturing departments.
- Sales Analysis & Reporting:
- Prepare regular sales performance and order status reports.
- Analyze trends, identify discrepancies, and present findings to the sales team and management.
- Assist in creating dashboards and performance metrics.
- Credit Control & Follow-Up:
- Monitor outstanding payments and coordinate with clients for timely collections.
- Work closely with the finance team to ensure adherence to credit policies.
- Maintain updated records of accounts receivable and credit limits.
- General Coordination:
- Provide administrative support to the sales team including meeting schedules, documentation, and internal communications.
- Maintain an organized filing system for customer and order records.
**Requirements**:
- Bachelor’s degree in Business Administration, Sales, or a related field.
- 2+ years of experience in a sales coordination, office administration, or operations support role.
- Strong proficiency in MS Office, especially Excel; experience with ERP/CRM systems is a plus.
- Excellent communication and organizational skills.
- Ability to work independently and manage multiple tasks effectively.
Preferred Skills:
- Experience working with manufacturing or factory-based operations.
- Basic knowledge of finance or accounting principles related to credit control.
- Strong attention to detail and process-oriented thinking.
**Job Types**: Full-time, Permanent
Pay: ₹20,000.00 - ₹25,000.00 per month
