**Position Overview**:
As a Purchase Coordinator at Ajit Bakery, you will play a vital role in ensuring the smooth and efficient procurement of goods and materials required for our bakery operations. Your responsibilities will include managing purchase orders, coordinating with suppliers, monitoring inventory levels, and maintaining accurate records of purchases. You will work closely with the production team, finance department, and suppliers to facilitate timely procurement and delivery of ingredients and supplies.

**Key Responsibilities**:

- Procurement Management:Prepare and process purchase orders based on production requirements, ensuring accuracy and adherence to budgetary constraints.

Source and identify reliable suppliers, negotiate pricing and terms, and establish long-term relationships to ensure consistent supply.
Collaborate with the production team to determine required quantities, quality standards, and delivery schedules for various ingredients and supplies.
- Supplier Coordination:Communicate with suppliers to place orders, confirm specifications, and ensure timely delivery of goods.

Resolve any discrepancies or issues related to orders, quality, or delivery, maintaining effective and professional relationships with suppliers.
Continuously evaluate supplier performance, reliability, and cost-effectiveness to optimize procurement processes.
- Inventory Management:Monitor inventory levels of ingredients, packaging materials, and other supplies to avoid stockouts or excess inventory.

Coordinate with the warehouse team to ensure proper storage, organization, and rotation of inventory.
Conduct regular stock checks and assist in conducting periodic physical inventories.
- Documentation and Reporting:Maintain accurate records of all purchases, invoices, and contracts, ensuring compliance with company policies and legal requirements.

Generate regular reports on procurement activities, including purchase orders, deliveries, and inventory levels.
Analyze purchasing trends, identify cost-saving opportunities, and provide recommendations to the management team.
- Process Improvement:Identify areas for process improvement within the procurement function and propose innovative solutions to enhance efficiency and cost-effectiveness.

Stay updated with industry trends, new products, and market developments to make informed purchasing decisions.

**Qualifications and Requirements**:

- Bachelor's degree in business administration, supply chain management, or a related field.
- Proven experience as a Purchase Coordinator, Buyer, or in a similar procurement role.
- Strong knowledge of procurement processes, inventory management, and supply chain principles.
- Familiarity with bakery ingredients and supplies is a plus.
- Excellent communication and negotiation skills to effectively liaise with suppliers.
- Proficient in using procurement software, inventory management systems, and MS Office Suite.
- Detail-oriented with strong analytical and problem-solving abilities.
- Ability to work independently and prioritize tasks in a fast-paced environment.
- Strong organizational and time management skills.
