**Job Overview**:
The Operations Executive/Facility Executive will oversee the daily operations and maintenance of our coworking spaces. This role is crucial in ensuring a seamless experience for our members by managing facilities, coordinating with vendors, and maintaining a high standard of cleanliness and safety.
**Key Responsibilities**:
- **Facility Management**:
- Ensure the coworking spaces are clean, organized, and well-maintained.
- Coordinate with cleaning staff and service providers for regular upkeep and maintenance.
- Manage space allocations and seating arrangements for members.
- Oversee the setup and maintenance of office equipment, including IT infrastructure.
- **Operations Coordination**:
- Monitor and manage inventory of office supplies and order new supplies as needed.
- Handle member inquiries and requests efficiently and courteously.
- Assist in onboarding new members and ensuring they are familiar with the space and amenities.
- Coordinate with the community manager to plan and execute events and activities.
- **Vendor and Stakeholder Management**:
- Liaise with vendors and contractors for facility repairs and maintenance.
- Ensure compliance with safety and security protocols.
- Monitor and manage service contracts and agreements.
- **Administrative Tasks**:
- Maintain records of facility operations and expenses.
- Prepare reports on facility usage, maintenance issues, and member feedback.
- Assist in budget planning and cost management for facility operations.
- **Health and Safety**:
- Implement and monitor health and safety regulations.
- Conduct regular safety drills and ensure emergency preparedness.
**Qualifications**:
- Bachelor’s degree in Business Administration, Facility Management, or a related field.
- 2+ years of experience in facility management, operations, or a similar role, preferably in a co-working or office environment.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and facility management software.
- Ability to work independently and as part of a team.
- Problem-solving skills and a proactive approach to managing tasks and issues.
