The Sales Coordinator plays a pivotal role in supporting the sales team by managing various administrative tasks, coordinating sales activities, and ensuring smooth communication between the sales team and other departments. This position requires strong organizational skills, attention to detail, and effective communication abilities.
**Key Responsibilities**:
- **Order Processing**:
- Process and manage sales orders efficiently and accurately.
- Coordinate with internal departments to ensure timely order fulfillment.
- Verify order details, pricing, and product availability.
- **Communication**:
- Serve as a liaison between the sales team and other internal departments.
- Communicate with customers to gather necessary information and address inquiries.
- Provide timely updates to clients regarding order status and shipment details.
- **Documentation**:
- Prepare and maintain sales-related documents, including contracts and quotations.
- Ensure all documentation is complete, accurate, and compliant with company policies.
- **Sales Support**:
- Assist the sales team in preparing sales presentations, proposals, and reports.
- Collaborate with the marketing department to ensure sales materials are up-to-date.
- **Customer Relationship Management (CRM)**:
- Update and maintain the CRM system with accurate and current customer information.
- Generate reports from the CRM to assist in analyzing sales performance.
- **Inventory Management**:
- Monitor and manage inventory levels to prevent stockouts or overstocks.
- Collaborate with the warehouse team to coordinate product availability.
- **Sales Meetings and Events**:
- Coordinate and schedule sales meetings, conferences, and events.
- Prepare necessary materials and documentation for sales-related events.
- **Data Analysis**:
- Analyze sales data to identify trends, opportunities, and potential areas for improvement.
- Provide insights and recommendations to the sales team based on data analysis.
- **Training and Onboarding**:
- Assist in training and onboarding new members of the sales team.
- Ensure that sales representatives have the necessary tools and information to succeed.
**Qualifications**:
- High school diploma required; Bachelor's degree in business or related field preferred.
- Proven experience in a sales coordination or administrative role.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite and CRM software.
- Attention to detail and accuracy in handling data and documentation.
- Ability to work collaboratively in a team-oriented environment.
