As a Front Office Executive, you will be the first point of contact for visitors, clients, and guests. Your role will encompass various administrative tasks to ensure smooth operations in the front office area. You will be responsible for providing excellent customer service, managing inquiries, coordinating appointments, and maintaining a professional atmosphere in the reception area.

**Responsibilities**:

- Reception Duties:

- Greet and welcome visitors, clients, and guests in a warm and professional manner.
- Answer phone calls, inquiries, and provide accurate information or direct calls to the appropriate person.
- Manage the reception area, ensuring cleanliness and organization at all times.
- Administrative Support:

- Assist in scheduling appointments and managing calendars for executives or staff.
- Handle incoming and outgoing mail, packages, and courier deliveries.
- Maintain office supplies inventory and place orders as necessary.
- Assist in organizing meetings and preparing necessary materials or documents.
- Customer Service:

- Provide exceptional customer service to visitors and clients, addressing their needs or concerns promptly and effectively.
- Act as a liaison between visitors and internal staff, ensuring efficient communication and resolution of issues.
- Handle customer inquiries or complaints professionally and escalate them as needed.
- Record Keeping:

- Maintain accurate records of visitor logs, appointments, and other relevant information.
- Update and maintain databases, contact lists, and other administrative documents.
- Ensure confidentiality and security of sensitive information.
- Coordination:

- Coordinate with other departments to ensure seamless communication and coordination of tasks.
- Assist in organizing events, conferences, or other activities as required.

Qualifications:

- Proven experience as a Front Office Executive or similar role.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel).
- Professional appearance and demeanor.
- Ability to remain calm and composed under pressure.
- Attention to detail and problem-solving skills.
- Knowledge of office management procedures is a plus.
- Flexibility to work in shifts if required.
