
Estate and Admin Officer

**Key Responsibilities**:
**1. Estate and Civil Works Maintenance**:
- Oversee the maintenance and upkeep of the plant’s physical estate, including buildings, infrastructure, and grounds.
- Supervise ongoing civil works, repairs, and construction activities at the plant, ensuring that work is completed on time, to specification, and in compliance with safety and quality standards.
- Conduct regular inspections of the estate and facilities to identify areas that require maintenance or improvement.
**2. Security Management and Loss Prevention**:
- Manage and oversee the plant's security team, ensuring a safe and secure working environment.
- Develop, implement, and enforce security protocols to protect property, equipment, and personnel from theft, vandalism, and unauthorized access.
- Monitor security personnel and activities to prevent loss due to theft or carelessness.
- Ensure the installation and functioning of security systems such as CCTV, gates, and access control.
**3. Liaison and Communication**:
- Act as the primary point of contact for external visitors and contractors, handling visitor liaison and ensuring that all visitors follow plant security and safety protocols.
- Coordinate with external agencies, contractors, vendors, and service providers for day-to-day operations and services related to plant management.
- Assist senior management with communication and coordination between internal teams, external partners, and authorities.
**4. Housekeeping and Upkeep**:
- Oversee housekeeping activities to maintain cleanliness and orderliness within the plant and surrounding estate areas.
- Ensure that sanitation standards and hygiene practices are followed across all plant facilities, including office spaces, restrooms, and production areas.
**5. Legal and Regulatory Compliance**:
- Ensure compliance with all legal and regulatory requirements related to estate management, safety, environmental policies, and industrial regulations.
- Coordinate with legal and compliance teams to ensure that the estate and its operations adhere to all relevant local, state, and national laws.
- Maintain records of regulatory inspections, permits, and compliance-related documents.
**6. External Equipment Testing and Maintenance**:
- Coordinate the external testing and certification of equipment and machinery at the plant as per statutory requirements.
- Ensure that all testing, maintenance schedules, and certifications are documented and up to date.
- Liaise with external agencies for equipment inspections and necessary maintenance.
**7. Storekeeping and Inventory Management**:
- Oversee the management of inventory for estate-related materials, including tools, maintenance supplies, and construction materials.
- Ensure proper storage, security, and tracking of materials, with a focus on reducing waste and maintaining accurate stock records.
**8. Logistics and Vehicle Management**:
- Arrange transportation and vehicles for stock dispatches as per plant operational requirements.
- Coordinate vehicle bookings for internal and external transportation needs, ensuring efficiency and cost-effectiveness.
**9. Reporting and Documentation**:
- Prepare regular reports for senior management on the status of estate management, maintenance, security, and other key operational aspects.
- Maintain accurate records of inspections, inventory, maintenance schedules, and visitor logs.
- Assist in the preparation of reports for regulatory authorities as required.
**Qualifications & Skills**:
- Bachelor's degree minimum of 5 years of experience in estate management, facility management, or similar administrative roles, with a background in the Army, Navy, or Air Force.
- Experience in overseeing civil works, construction sites, security, and housekeeping operations is highly desirable.
- Familiarity with legal, regulatory, and safety compliance requirements for industrial and manufacturing settings.
- Strong leadership and organizational skills with a proactive approach to problem-solving.
- Excellent communication skills, both verbal and written, for liaising with internal teams, contractors, and external authorities.
- Ability to manage multiple tasks simultaneously and prioritize effectively.
- Strong knowledge of security management, loss prevention, and asset protection.
- Proficiency in MS Office Suite (Excel, Word, PowerPoint) and experience with facility management software.
