**Job Summary**: The Admin Executive plays a key role in ensuring the smooth operation of office functions and supporting the daily activities of the organization. This position requires excellent organizational skills, attention to detail, and the ability to handle multiple tasks effectively.
**Key Responsibilities**:
- **Office Administration**: Manage daily office operations, including maintaining office supplies, equipment, and facilities.
- **Document Management**: Handle documentation, including filing, scanning, and data entry, ensuring all records are accurate and up-to-date.
- **Communication**: Act as the first point of contact for visitors and telephone calls. Draft, proofread, and send internal and external correspondence.
- **Meeting Coordination**: Schedule and organize meetings, prepare agendas, and take minutes as required.
- **Calendar Management**: Manage and coordinate executive calendars, appointments, and travel arrangements.
- **Support**: Provide administrative support to executives and other staff, including handling requests, organizing events, and preparing reports.
- **Compliance**: Ensure compliance with company policies and procedures, as well as relevant regulations.
- **Financial Administration**: Assist with basic financial tasks, such as processing invoices, expense reports, and maintaining petty cash.
- **Data Management**: Maintain and update databases and contact lists, ensuring information is accurate and accessible.
**Requirements**:
- **Education**: Degree in Business Administration or related field is a plus.
- **Experience**: 2 to 3 years proven experience as an administrative assistant or similar role.
- **Skills**:
- Excellent organizational and multitasking abilities.
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong written and verbal English communication skills.
- Attention to detail and problem-solving skills.
- Ability to maintain confidentiality and handle sensitive information.
- **Personal Attributes**: Professional conduct, proactive attitude, and the ability to work both independently and as part of a team.
**Working Conditions**:
- **Hours**: 09:30 AM to 06:30 PM - 5 days a week
- **Environment**: Work from Office
