**Profile: Secretary/Executive Assistant**
**Role & responsibilities**
- Minimum of 4+ years of experience as an Executive Assistant reporting directly to senior management
- Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software
- Acting as a first point of contact dealing with correspondence and phone calls
- proactively managing and coordinating the diary of the Boss by prioritizing and arranging internal and external meetings, ensuring appropriate briefing papers are prepared and provided.
- Planning and organizing travel and accommodation as and when required
- providing full personal assistant support by dealing with all correspondence and calls, drafting routine letters to a high standard, minute meetings, taking messages and other administrative tasks as required to support the BOSS.
- ensuring whatever meetings are scheduled for the Boss are properly arranged and serviced.
- Provide reports for senior management as required.
- Any other duties relevant to the needs of the organization and as directed.
- Schedule meetings and appointments and manage travel itineraries
- Arrange corporate events to take place outside of the work place, such as office party, presentations, client and boss lunch arrangements etc.
- Maintain an organized filing system of paper and electronic documents
- Uphold a strict level of confidentiality
