A Documentation Assistant's job is to help prepare, manage, and maintain various types of documentation, ensuring accuracy, timeliness, and compliance with organizational policies and procedures.

- Key Responsibilities: Document Preparation and Filing: Assisting in the preparation of documents for various purposes, such as legal compliance, project management, or regulatory requirements.
- Establishing and maintaining electronic filing systems to ensure easy retrieval and organization of documents. Scanning, photocopying, and storing digital documents.
- Maintaining and organizing both physical and digital files.
- Document Management and Tracking: Indexing, tracking, and setting up retrieval systems for documents. Monitoring the approval of documents and triggering related actions, such as billing, once approved.
- Ensuring the accuracy and timeliness of submitted documents. Safeguarding documents and maintaining their integrity.
- Compliance and Security: Ensuring that documents comply with relevant regulations and policies. Maintaining document security and confidentiality.
- Administrative Support: Providing administrative support to other teams or departments regarding documentation needs.
- Collecting information, documents, and reports from field staff, arranging, and archiving them.
- Skills and Qualifications: Technical Skills: Proficiency in using office software, document management systems, and scanning equipment.
- Organizational Skills: Strong organizational skills, ability to manage large volumes of information, and maintain accuracy.
- Communication Skills: Ability to communicate effectively with colleagues, clients, and field staff.
- Attention to Detail: Meticulous attention to detail and ability to ensure accuracy in all tasks.
- Problem-Solving Skills: Ability to identify and resolve issues related to documentation and filing systems. Knowledge of relevant regulations and policie.
