**We at the Administration Team **are here to oversee all building-related activities and are responsible to provide uninterrupted support with regards to office & admin to the internal and external customers. The goal is to provide time support to employees to enable and facilitate them with necessary office infrastructure, basic amenities and to safe work environment for them to deliver the business requirements.
**As Office & Admin Assistant,** The role of an Office & Admin Assistant incorporates several different functions, from execution, monitoring and managing third-party suppliers and supporting staff.
But, despite the overwhelming amount of tasks required to keep a built environment operational.
**What do we expect from you?**
- Bachelor’s degree in any stream
- 8 to 12 years of experience in admin & facilities management
- Familiarity with office management, admin & facilities procedures, data reporting etc
- Good knowledge of MS Office tools - Word, Excel, PPT, Google docs etc
- Excellent written & verbal communication skills - English and local language can be a plus
**What will you work on**:
- Reporting to Office Manager
- Office management through IFM partner
- Handling internal customers' emergencies or urgent issues as they arise with regards to facilities
- Handling Facility maintenance, repairs and services.
- Vendor Coordination and vendor onboarding.
- Verifying vendor invoices and processing after internal approvals
- Space management - Planning best allocation and utilization of space & resources for new buildings.
- Managing compliance like pollution control etc
- Domestic & International Travel ticketing & Visa processing
- Handle Food & Beverage services - Snacks, Breakfast & Lunch at the office
- Transport Management - Monitor Airport transfers, Cars used for official meetings and Employee Pick up & Drop, and any special requirements during the delegate's visit.
