**Documentation Coordinator - Pre-construction stage**

**Responsibilities**:
We are seeking a proactive, detail-oriented Construction Documentation Coordinator to manage the approval services for construction projects. This remote position requires an understanding to learn and manage construction regulations and approval processes in both the US and Australia. Your role will be critical in ensuring documentation accuracy, compliance, and project coordination across international projects.
- Serve as the primary liaison with councils, certifiers, and consultants.
- Handle project documentation, ensuring accuracy, compliance, and timeliness.
- Coordinate with builders to gather necessary documents, aligning with approval requirements.
- Communicate effectively with all stakeholders to ensure smooth project progression.
- Handle reports, council documents, consultant feedback, and client feedback to ensure project documentation is accurate and up to date.
- Ensure projects are completed on time, within scope, and meet quality standards, navigating and complying with construction regulations in the US and Australia.
- Act as the main contact for councils, certifiers, consultants, and architects, ensuring smooth project coordination across different jurisdictions.
- Liaise with offices to manage approval stages, checking the requirement list for various build types—pools, sheds, houses—in both Australia and the US.
- Work closely with builders to obtain necessary documents for clients, aligning with approval checklists and submitting documents to councils or private certifiers as required.
- Engage with a range of consultants, including Geotech, Surveyors, Bushfire, Acoustic, Arborist, and Engineers (structural and stormwater), to ensure comprehensive project compliance.
- Monitor the company's project timelines closely, ensuring adherence to Service Level Agreements (SLAs) and providing timely updates to both internal teams and clients.
- Offer clear, consistent updates on project progress to the Customer, enhancing client satisfaction through effective communication and follow-up on orders.
- Manage consultant performance according to SLAs, facilitating timely order fulfillment and addressing information requests from certifiers and councils efficiently.
- Oversee building approvals to prevent delays, and proactively identify and implement workflow efficiencies to streamline the approval process.

**Requirements**:

- Bachelor's degree in architecture, urban planning, construction management, civil engineering, or related field (preferred).
- Proven background in managing approval stages of design in construction projects, with the ability to handle multiple projects simultaneously.
- Excellent communication skills, capable of liaising with various stakeholders.
- Strong organizational skills in document and timeline management.
- Ability to solve issues during preconstruction/ approvals stage, work well under pressure, and prioritise tasks.
- Proficiency in project management software, with a clear understanding of SLAs and performance metrics.
- Willing to work remotely, full-time
- Work schedule is 6:30 AM to 3:30 PM IST, Monday to Friday
