As an operations organization, we aim to make doing business with Microsoft easy. Field & Scale Operations is part of Microsoft Business Operations with people deployed across the globe.
Microsoft Business Operations (MBO) launches, transacts, optimizes, and closes gaps for the Company through an Operations Delivery Life Cycle (ODLC). We transact using a continuously modernizing performance engine for Microsoft’s existing commercial businesses, and we close gaps to accelerate the success of Microsoft’s emerging businesses and organic ventures.
Our F&SO team works with to provide operational services that include end-to-end deal management, advisory, construct and most efficient path for order-to-cash & post support realization.
**Position Overview**:
We are seeking a highly organized and proactive Executive Assistant to support our Field & Scale Operations Leader and Employees located across our India locations including Bengaluru, Hyderabad, Mumbai and Delhi.
This position requires exceptional communication skills, attention to detail, and the ability to handle confidential information with discretion.
**Responsibilities**:
- Calendar Management: Efficiently manage the leader's calendar, including scheduling appointments, meetings, and travel arrangements.
- Meeting Coordination: Coordinate and schedule meetings, conferences, and events, ensuring all necessary arrangements are made and materials are prepared.
- Facilities Coordination: Oversee facilities-related tasks such as office space allocation, maintenance requests, and supplies inventory.
- RoB (Rhythm of Business) Execution: Support the leader in executing regular business processes and cadences, ensuring timely and effective implementation.
- Event and Function Management: Plan and coordinate internal and external events and functions, including logistics, catering, and guest arrangements.
- IT Asset Management: Assist in managing IT assets such as computers, phones, and software licenses, coordinating procurement, deployment, and maintenance as needed.
- Travel Management: Arrange travel logistics for the leader and team members, including flights, accommodations, and transportation.
- Expense Management: Track and reconcile expense reports, ensuring accuracy and compliance with company policies.
- Relationship Management: Build and maintain positive working relationships with internal teams, external partners, and clients.
- Administrative Tasks: Handle general administrative tasks such as filing, photocopying, and organizing documents, ensuring efficient office operations.
**Qualifications**:
- Bachelor's degree preferred.
- Proven experience as an executive assistant or similar role, supporting senior executives or leaders.
- Excellent organizational and time-management skills, with the ability to prioritize tasks and work under pressure.
- Strong written and verbal communication skills, with a professional and courteous demeanor.
- Discretion and confidentiality when handling sensitive information.
- Ability to work independently with mínimal supervision, as well as collaboratively within a team.
- Experience in sales or field operations is a plus.
- Operating Hours: 2 pm to 10 pm IST.
