Job Overview
The Sales Coordinator and Office Assistant supports the pharmaceutical sales team with administrative tasks and sales help. Responsibilities include handling customer orders, managing sales data, interacting with clients, and keeping office operations smooth. This role requires 3 to 4 years of experience and the ability to work in a fast-paced setting, ideally with knowledge of pharmaceutical products.
Key Duties
**Sales Coordination**:
- **Order Management**: Process and manage customer orders accurately, working with supply, warehouse, and logistics teams.
- **Sales Support**: Help the sales team by preparing quotes, presentations, catalogs, and other materials.
- **Customer Contact**: Be the first point of contact for clients, answering questions, providing product information, and resolving order issues.
- **Sales Reporting**: Create weekly and monthly sales reports to track progress and targets.
- **CRM Management**: Keep the CRM system updated with customer interactions, order status, and sales data.
**Office Administration**:
- **Office Coordination**: Handle phone calls, correspondence, document filing, and general office tasks.
- **Documentation**: Manage sales documents, invoices, contracts, and shipping documents per industry regulations.
- **Meeting Coordination**: Organize meetings, appointments, and travel for the sales team.
- **Inventory Management**: Keep track of office supplies and promotional materials.
- **Admin Support**: Provide administrative help to senior management as needed.
**Customer & Client Management**:
- **Relationship Building**: Build strong relationships with clients and ensure excellent customer service.
- **Feedback Collection**: Gather customer feedback on products and services to share with the sales and product teams.
- **Client Data**: Keep client information, agreements, and documents updated in the CRM.
**Compliance & Documentation**:
- **Regulatory Compliance**: Ensure all sales transactions and product shipments follow industry rules and standards.
- **Work with Regulatory Teams**: Coordinate with regulatory and quality teams to keep product licenses and certifications current.
Skills & Qualifications
**Skills Needed**:
- **Industry Knowledge**: Understanding of pharmaceutical sales and regulations.
- **Communication**: Strong communication skills for client and internal interactions.
- **Problem-Solving**: Ability to address customer issues and handle complaints professionally.

- **Tech Skills**: Skilled in MS Office and experience with CRM and ERP systems.
**Qualifications**:
- **Education**: Bachelor’s degree in Business, Pharmacy, or a related field.
- **Experience**: 3 to 4 years in a similar role, preferably in pharmaceuticals.
- **Technical Knowledge**: Familiarity with pharmaceutical products and sales documentation.
- **Languages**: Proficient in English; other languages helpful.
**Additional Requirements**:
- **Time Management**: Able to work under tight deadlines, especially during busy times.
- **Flexibility**: Willing to work in-office and occasionally support outside activities.
- **Travel**: Occasional travel may be needed for client visits or events.
