This role ensures the efficient functioning of day-to-day activities, supports financial and human resources processes, and contributes to the organization’s strategic objectives. The Business Administrator Associate collaborates with cross-functional teams to streamline processes, maintain accurate records, and ensure compliance with organizational policies and industry regulations. Key Responsibilities - **Administrative Support**: - Manage calendars, schedule meetings, and coordinate logistics for internal and external stakeholders. - Prepare and distribute reports, presentations, and correspondence for management and project teams. - Maintain organized filing systems for business records, contracts, and vendor agreements. - **Financial Administration**: - Assist in preparing budgets, tracking expenses, and processing invoices for payment. - Support accounts payable/receivable processes, ensuring timely and accurate financial transactions. - Reconcile financial records and assist with monthly financial reporting under the supervision of senior staff. - **Human Resources Support**: - Coordinate onboarding processes for new employees, including preparing documentation and scheduling orientations. - Maintain employee records, including attendance, leave, and training documentation. - Assist with recruitment activities, such as posting job openings and scheduling interviews. - **New Projects and Operational Support**: - Coordinate with vendors and suppliers to ensure timely procurement of goods and services. - Support project management teams by tracking project milestones, deliverables, and resource allocation. - Assist in the implementation of business process improvements to enhance operational efficiency. - **Compliance and Documentation**: - Ensure business operations comply with internal policies, industry standards, and applicable regulations. - Assist in preparing documentation for audits, including financial, operational, and HR records. - Maintain confidentiality of sensitive business and employee information. - **Communication and Coordination**: - Act as a point of contact for internal teams, external vendors, and clients, addressing inquiries promptly. - Facilitate communication between departments to ensure alignment on business objectives. - Support the organization of company events, training sessions, or client meetings. - **Management Support**: to manage the dashboard, timelines and projects management for new feasibilities, Regulatory sites, data search and branding. Qualifications and Skills - **Education**: Bachelor’s degree in Business Administration (BBA), Management, Finance, or a related field (or equivalent experience). - **Experience**: - Prior experience in a CRO or healthcare industry is a plus but not required. - **Skills**: - Strong organizational and multitasking skills with keen attention to detail. - Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and business software (e.g., ERP systems, CRM tools). - Basic understanding of financial processes, such as budgeting and invoicing. - Excellent written and verbal communication skills. - Ability to work independently and collaboratively in a dynamic, fast-paced environment. Effective delivery without compromising on regulatory and standards compliance. - Mile stone Management/calender management - periodic reporting and quality check with the stats of the progress and open to adopt to new technologies and feedbacks - **Certifications**: Not required, but certifications in business administration or project management (e.g., CAPM) are a plus. Key Competencies - Problem-solving and analytical skills to address operational challenges. - Time management and ability to prioritize tasks effectively. - Strong interpersonal skills for collaboration with diverse teams and stakeholders. - Adaptability to changing priorities and business needs. Working Conditions - Primarily office-based or remote, depending on organizational policies. - May require occasional travel for meetings or vendor coordination. - Ability to work flexible hours to accommodate project deadlines or global time zones, if applicable.
