**Position**: Executive Assistant (Male)
**Reporting to**: Operations Head
**Employment Type**: Full-Time
**Gender Preference**: Male
**Key Responsibilities**:
- **Standard Operating Procedures (SOPs) & Policy Preparation**:
- Develop, draft, and update SOPs and company policies in collaboration with unit heads.
- Ensure all policies and procedures are documented, easily accessible, and communicated effectively across the organization.
- **Meeting Management**:
- Prepare agendas, take detailed meeting minutes, and follow up on action items from meetings.
- Coordinate and schedule meetings, ensuring all necessary participants are informed and prepared.
- **Official Visits & Travel**:
- Accompany the Operations on all official visits
- Manage travel logistics and preparing itineraries.
- **Calendar Management**:
- Manage the Operations Head calendar, scheduling meetings, appointments, and personal commitments.
- Ensure optimal time management by prioritizing engagements and avoiding conflicts.
- **Management Information Systems (MIS) & Reports**:
- Prepare, analyze, and present MIS reports on key performance metrics.
- Compile data and create presentations using PowerPoint for internal and external meetings.
- **Communication**:
- Maintain excellent oral communication, facilitating clear and effective interaction with internal and external stakeholders.
- **Presentation Preparation**:
- Develop and design professional presentations for the Operations Head using PowerPoint and other relevant software.
- Ensure all presentations are aligned with company branding and messaging.
**Key Requirements**:
- **Education**: Bachelor's degree in Business Administration, Management, or a related field.
- **Experience**: Proven experience as an Executive Assistant, with a focus on policy drafting, meeting management, and executive support.
- **Skills**:
- **Communication**: Exceptional written and oral communication skills.
- **Technical**: Proficient in Microsoft Office Suite, particularly in Word, Excel, and PowerPoint.
- **Organizational**: Strong organizational skills with the ability to manage multiple tasks and deadlines.
- **Interpersonal**: Ability to work closely with senior management and handle confidential information with discretion.
