Administrative Officer

Oversee the day-to-day operations of the office, including managing supplies and equipment.
- Ensure that the office environment is clean, organized, and conducive to productivity.
- Coordinate office maintenance, repairs, and servicing as needed.
- Manage office budgets and track expenses related to administrative activities.
- Serve as the primary point of contact for internal and external communications.
- Draft, proofread, and distribute documents, reports, memos, and other correspondence.
- Maintain and update filing systems, both physical and digital, ensuring that documents are easily accessible.
- Schedule and coordinate meetings, appointments, and events for management and staff.
- Prepare meeting agendas, take minutes, and distribute action items post-meeting.
- Coordinate travel arrangements, accommodation, and itineraries for staff and visitors.
- Assist with HR-related tasks such as recruiting, onboarding new staff, and managing employee records.
- Monitor attendance and leave records, including vacation and sick days.
- Support the training and development of staff by scheduling workshops and training sessions.
- Maintain an organized filing system for contracts, employee records, and other official documents.
- Ensure compliance with data protection regulations and confidentiality policies.
- Assist with the preparation and filing of reports, including legal, financial, and compliance documents.
- Assist with budgeting and financial reporting related to administrative expenses.
- Process invoices, purchase orders, and payments.
- Track and reconcile office expenses and maintain accurate financial records.
- Manage relationships with vendors and suppliers to ensure timely delivery of goods and services.
- Negotiate contracts and terms for office supplies, equipment, and other services.
- Maintain an inventory of office supplies and reorder as necessary.
- Ensure adherence to organizational policies, health and safety regulations, and legal requirements.
- Assist with internal audits and compliance checks.
- Help implement and monitor workplace policies and procedures.
- Assist in the planning and execution of office projects and initiatives.
- Support other departments with administrative tasks as required to achieve organizational goals.
- Maintain project timelines and assist in tracking progress.
- Provide administrative assistance to senior management, department heads, and staff as needed.
- Organize office events, team-building activities, and company-wide functions.
- Handle other administrative duties as required by the organization.
Pay: ₹18,000.00 - ₹22,000.00 per month
